Summary

Administrative Assistant

Our client is seeking a resourceful and detail-oriented Administrative Assistant to support their Sales and Customer Service teams. The ideal candidate is a dependable multitasker who thrives in a collaborative, fast-paced setting and excels in both verbal and written communication. This role is critical in maintaining day-to-day workflow and ensuring a seamless experience for internal teams and external customers alike.


This role is onsite in Fairview, Oregon.


Administrative Assistant Responsibilities

  • Manage high-volume inbound calls through a multi-line phone system and route inquiries to appropriate team members.
  • Support internal sales personnel with administrative tasks and foster strong team relationships through consistent, professional communication.
  • Serve as a customer contact via phone and email, offering timely and accurate responses to inquiries and strengthening brand reputation.
  • Conduct order-entry audits to verify purchase accuracy and ensure data integrity.
  • Generate and distribute regular and ad hoc reports, dashboards, and performance metrics for internal use.
  • Coordinate customer return and credit/debit processes, ensuring timely resolution of pricing discrepancies.
  • Maintain department records and handle sensitive information with discretion.
  • Recommend and implement process enhancements to improve administrative workflows.


Administrative Assistant Qualifications

  • High school diploma required; Associate or Bachelor’s degree preferred.
  • 5+ years of administrative or sales support experience in a business setting.
  • Strong written and verbal communication skills with a customer-centric mindset.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • High level of professionalism and ability to work collaboratively with cross-functional teams.
  • Acute attention to detail, especially in data entry and documentation.
  • Proficient in Microsoft Office Suite (especially Excel, Word, Outlook); experience with CRM tools and multi-line phone systems is a plus.


Compensation: $21-$23/hr. (DOE)
