Position: Residential Construction Project Admin Assistant/Project Engineer

My client is seeking a highly organized, detail-oriented Residential Construction Project Administrative Assistant/Project Engineer to support the Construction Department's daily operations across a value- add portfolio of multifamily assets. This role is essential to maintaining accurate documentation, facilitating internal communication, tracking project progress, and helping ensure the timely completion of capital projects and building improvements across my client's residential real estate portfolio.

The ideal candidate will have excellent organizational and communication skills, be proactive, and thrive in a dynamic, fast-paced environment. Experience supporting construction, engineering, or real estate development teams is preferred.

Responsibilities

  • Provide direct administrative support to the Director of Construction & Residential Construction Department.
  • Track and update project schedules, budgets, and status reports in coordination with project managers and property teams.
  • Prepare, organize, and maintain construction documents, contracts, purchase orders, and vendor records.
  • Assist in the preparation and distribution of Requests for Proposals (RFPs) and help track bid submissions from contractors and vendors.
  • Coordinate and schedule project meetings, site visits, and conference calls; prepare agendas and meeting notes.
  • Monitor project deadlines and alert team members to key deliverables, pending approvals, and upcoming due dates.
  • Assist with document reviews, including contractor submittals, invoices, and lien waivers, ensuring they are properly routed for approvals.
  • Plan and organize site travel itineraries and agendas for bid walks, ensuring all necessary parties are scheduled to attend.
  • Help review and organize contractor bids and qualification packages for evaluation by the project management team.
  • Support the department in preparing presentations, internal memos, project summaries, and executive reports.
  • Interface professionally with property managers, contractors, consultants, and internal departments.
  • Assist in permit tracking and the organization of regulatory documents and insurance certificates.
  • Manage electronic filing systems and ensure all project documentation is properly archived and accessible.
  • Provide general administrative assistance to project team
  • Assist with limited out-of-state travel coordination for projects as needed.
  • Highly Proficient in Microsoft Outlook, Excel, Word, Google Docs, and experience with Microsoft Project or Smartsheet is a plus.

Qualifications

  • Minimum of 2-3 years of administrative experience in construction, real estate development, or a related industry preferred
  • Bachelor's Degree preferred; relevant work experience may be considered in lieu of degree.
  • Strong organizational skills with meticulous attention to detail and accuracy.
  • Ability to manage multiple tasks and priorities in a busy, deadline-driven environment.
  • Exceptional written and verbal communication skills.
  • Professional demeanor with strong intrapersonal skills and ability to work across different teams.
  • Technologically savvy with experience in Microsoft Office Suite; experience with project management software is a plus.
  • Self-starter with strong problem-solving skills and a proactive attitude.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Must be dependable, self-motivated, and able to work independently and as part of a team.
  • Some flexibility to travel locally or out-of-state on occasion, if needed
