Summary

Department: Strategic Business Analysis Location: Oakland, California Reports To: Sr. Coast Director, Product and Strategic Bus. Analysis - Northern California FLSA Status: Non-exempt (This is not a dockworker position. It is not covered by the contracts negotiated between the ILWU and PMA.) Put your experience and talents to work in a management trainee role for a unique company - the Pacific Maritime Association (PMA). PMA is a non-profit mutual benefit corporation that serves as a multi-employer collective bargaining agent for approximately 75 shipping lines, stevedore companies and marine terminal operators at California, Oregon and Washington ports. West Coast port operations (including non-containerized cargo such as bulk and autos) now support 8 million U.S. jobs and contribute 11 percent of the U.S. GDP. PMA's primary purpose is to negotiate and administer labor contracts with the International Longshore & Warehouse Union on behalf of the Association's member companies, as well as administrating payroll and certain benefits. Our headquarters and administrative office is located in San Francisco, California, with area offices in Southern California (Long Beach and San Diego) and the Pacific Northwest (Portland, Oregon and Seattle, Washington) in addition to Northern California (Oakland). SUMMARY Reporting to the Sr. Coast Director, Product and Strategic Bus. Analysis, the Reporting Coordinator will support the organization by using analysis tools to query and interpret data from various repositories. You will perform data analysis to address internal requests and develop effective data management rules and methodologies. Your role involves generating reports that help managers make informed business decisions by identifying trends and patterns in operational data. You will handle a variety of data requests and analyze labor data from initial conceptualization to final presentation. Essential skills for this position include entry proficiency with analytical tools, knowledge of data analysis methodologies, strong communication abilities, and a commitment to delivering excellent customer service. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. * Data Analysis: Utilize analytical tools to query and analyze data from various sources, identifying trends, patterns, and insights for PMA to make informed business decisions. * Data Entry: accurately input, update, and maintain data in various systems and databases to ensure information is current, complete, and correctly formatted. * Coding Skills: Demonstrate a high level of interest in coding and the ability to use programming languages (such as SQL, WEB Focus, or other internal software) to enhance data analysis and reporting capabilities. * Report Generation: Create and maintain regular and ad-hoc reports to support decision-making processes, ensuring accuracy and clarity. * Data Management: Develop and implement data management rules and methodologies to ensure data integrity and consistency. * Process Management: Develop, implement, and monitor efficient processes to optimize workflow, enhance productivity, and ensure consistent quality across tasks. Identify areas for improvement, streamline procedures, and collaborate with team members to integrate best practices and maintain effective operational standards. * Internal Collaboration: Interacts with all departments of PMA, to understand their data needs and provide relevant information and analysis. Presentation of Findings: Prepare and present data findings to stakeholders, translating complex data into understandable and actionable information. * Data Requests: Respond to various data requests from managers in other departments, ensuring timely and accurate delivery of information - assuring the integrity of project data extraction, manipulation, processing, and analysis * Tool Utilization: Proficiently use analytical and reporting tools to extract, manipulate, and visualize data. * Quality Assurance: Ensure the accuracy and reliability of reports and data analysis by conducting thorough quality checks. * Customer Service: Provide excellent customer service by addressing inquiries and providing support related to data and reporting. * Process Improvement: Continuously seek ways to improve reporting processes and data management practices for increased efficiency. * Compliance: Ensure that all data handling and reporting activities comply with relevant regulations and company policies. * Provide Backup Support: Assist the benefits department as needed by performing related tasks such as processing benefit claims, weekly guarantee audits, dispatcher payrolls, vacation claims, travel audits, longshore inquiries. * Process regularly scheduled Department of Labor and industry required reporting. * Develop awareness of and familiarity with issues and events affecting association members * Provide a high level of customer service. * Assist in the preparation of reports for key business needs, including but not limited to the following: (a) productivity (b) labor costing (c) manpower analysis (d) workforce training (e) PMA annual report (f) EEOC Reporting (g) Weekly Productivity reports for all areas (h) Forecast of labor hours and cargo volumes (i) DOL & OEWS Survey Requests (j) WEB focus Reporting - Ad HOC reporting * Develop awareness of and familiarity with issues and events affecting association members. * Flexible Support: Assist with various tasks and departmental needs as required, with a proactive approach to offering support where it's most needed. Undertake additional tasks as assigned by supervisors to support department operations and ensure seamless workflow. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES * Strong communication, interpersonal and negotiating skills in working with all levels of the organization. * Ability to handle sensitive and confidential situations with diplomacy, resolving problems in a timely manner using sound judgment and discretion. * Demonstrate a high level of interest in coding and the ability to use programming languages to enhance data analysis and reporting capabilities * Enjoys multiple projects, working calmly and with patience under pressure. * Prioritizes and plans work activities using strong organizational skills. * Attention to details, demonstrating accuracy and thoroughness, monitoring own work to ensure quality. * Experience in effective presentation of information. * Exhibits a high level of proficiency of Microsoft Office applications, including Word, Excel and PowerPoint; Lotus Notes and Oracle experience is a plus. EDUCATION AND/OR EXPERIENCE A bachelor's degree in business administration or other related subject from an accredited four-year college or university is required. Experience in a corporate environment or similar environment is preferred. WORK ENVIRONMENT The position is based in Oakland, California, with convenient access to public transportation. PMA provides a fun and professional work environment. This is an on-site role, Monday through Friday, with the option to work remotely for up to two days per calendar month after six months of employment.
