Are you ready to take the next big step in your hospitality career? Four Seasons Resort Rancho Encantado Santa Fe is seeking a dynamic individual with great attention to detail and professionalism for exciting role as Sales, Catering, and Marketing Coordinator. An individual who shares our passion for achieving service excellence and infuses enthusiasm into everything he/she does! You enjoy being on the cusp of market trends, you enjoy promoting local awareness through different media channels.

The Position/Role

This role is responsible for providing administrative support primarily for the Travel Industry Sales Manager, Group Sales Manager Director of Catering, Director of Public Relations, Director of Digital Marketing and the Commercial Director while being familiar with all aspects of the sales, catering and conference services planning process. Assist in the organizing of Group and Travel Industry needs and act as a liaison with the resort’s reservation team members in conjunction with the Reservations Manager. Provides back up support to the Sales Managers and the entire sales, catering and marketing team. In addition, this position must be technically competent and have a strong working knowledge of SalesForce.com/Delphi.FDC (Golden Sales and Catering), and Meeting Broker. This role has the responsibility to constantly strive to improve Golden Sales and Catering usage, maintain its integrity and initiate ways to automate the sales and catering department’s daily processes.

  • Your professional career has 2+ years’ experience as Sales/Catering Assistant and systems knowledge of Delphi/Amadeus.
  • Your working love and passion is all about the top-level luxury hospitality industry.
  • You must have the highest level of integrity and transparency.
  • You are brave; have a pro-active and inquisitive mind set to develop problem solving, decision making, conflict resolution and strategic thinking skills
  • Your craftsmanship includes knowledge of production methods in graphic art and marketing collateral.
  • Ability to have work hard but still have FUN!
  • You recognize and show confidence when receiving and responding to incoming telephone calls in accordance with Four Seasons Standards and assist with overflow calls for Sales & Marketing and Executive Office.
  • Your organizational and time management skills are at the top of the list for your skills, making you a professional in preparing accurate written correspondence including letters, contracts and reports. Maintain Golden Sales and Catering accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation of Banquet Event Orders, and resumes if needed.
  • You are a committed team player and will work closely with our Worldwide Reservations Office to support Travel Industry Sales Manager with reservations needs.
  • Complete distribution of Sales and Catering correspondence to the resort operating departments as required.
  • Maintain the various Sales and Catering/Conference Services file systems, both electronic and paper, including Account Files, Program Evaluation Database, Master binders for Banquet Event Orders and Resumes.
  • Assist in completing special projects which may include mailings, competitive surveys, or other assigned duties; maintain and order office supplies.
  • Golden Sales and Catering Systems Analyst Duties
  • Coordinate Purchase orders and process invoices for Sales & Marketing/Catering Division
  • Manage Internal Meetings, assist other departments with BEO’s for internal meetings
  • Manage Gift Certificate log and creation of gift certificates
