Position Overview

We are seeking a highly organized and proactive individual to provide comprehensive administrative and program support to the Director, Division Chiefs, and staff within the DOT/FMCSA Office of Registration and Safety Information. This role involves managing daily office operations, supporting program activities, and ensuring smooth communication and documentation processes. 

Key Responsibilities

  • Assist with daily office and program operations.
  • Screen and manage incoming calls, visitors, and correspondence.
  • Route and track incoming correspondence.
  • Gather and assemble information, such as program manuals.
  • Prepare and review correspondence and administrative documents for grammar, format, and accuracy.
  • Develop and maintain tracking systems for incoming requests and information.
  • Manage and maintain electronic calendars.
  • Plan, coordinate, and oversee logistics for conferences and meetings.
  • Create and maintain filing and supply systems.
  • Arrange staff meetings and travel logistics.

Qualifications

  • Education: High School Diploma.
  • Experience: Minimum of 1 year in an administrative or program support role, including handling telephone inquiries, preparing correspondence, prioritizing tasks, and public interaction.
  • Skills:
  • Ability to handle a high volume of inquiries and manage multiple tasks efficiently.
  • Strong analytical skills for developing and managing tracking systems.
  • Expertise in customer service quality assurance and surveillance.
  • Experience with evaluating customer interactions for accuracy and timeliness.
  • Proven ability to summarize evaluation findings and provide clear recommendations for improvement.
  • Skilled in providing guidance and training related to office functions and registration activities.
  • Ability to communicate effectively with multiple FMCSA program offices and stakeholders.

Additional Qualifications

  • Proficiency in Windows applications and Microsoft Office Suite, including Outlook, Excel, and Word.
  • Strong interpersonal skills with the ability to work independently and as part of a team.
  • Exceptional organizational skills and ability to meet deadlines.

Salary: $54672 - $61506 per year
