Supports recruiting and retention initiatives for the Recruiting Team by coordinating the administrative tasks associated with those activities. This can include all facets of the recruiting processes including sourcing, advertising, reference checks, and candidate communication and scheduling. It also includes reporting, tracking, and other metrics activities using our internal ATS, email, and MS Office tools like Word and Excel.
Job Responsibilities
Administrative Support / Recruiting
- Assists Recruiting Staff with recruiting assignments as needed. This includes help with job postings and maintenance, sourcing resumes, initiating background checks and drug screening when appropriate, coordinating pre-hire assessments, and scheduling of candidate activities such as interview schedules and communications with hiring managers.
- Coordinates candidate communications around acknowledgement letters, decline letters, rescind letters and offer letters as needed.
- Coordinates and administers new hire paperwork (when appropriate).
- Coordinate travel arrangements for recruiters and/or candidates as needed.
- Sends out relocation packets when applicable.
- Updates and maintains candidate and requisition data in ATS to include: manager feedback, contact log activity, interview schedule and feedback, associated costs (postings, interview travel, etc.), market analysis, offer details, and assessments. Also coordinates the creation and maintenance of recruiting reporting metrics utilizing the SCI tools currently in use.
- Ensures seamless on-boarding experience for all candidates by facilitating the following: distribute on-boarding checklists to hiring managers before candidate start dates, prepare Welcome Guide Kit, and coordinate assignment of parking space (if applicable).
- Responsible for posting all corporate job openings to external job boards and ATS.
- Other duties as required to effectively and efficiently deliver high-quality recruiting support
EDUCATIONAL/Experience/MINIMUM Requirements
Education:
- High school diploma or equivalent
Experience
- Five (5) years of professional working experience
Knowledge, Skills & Abilities
- Ability to establish relationships quickly and easily
- Ability to work well under pressure with excellent time management skills
- Proficiency in Microsoft Office programs (Outlook, Word, Excel and PowerPoint)
- Must be task-oriented and be able to consistently meet deadlines
- Highly self-motivated, able to work fairly autonomously with general direction
- Initiative, high energy, strong sense of urgency and the ability to handle many projects simultaneously.
- Good verbal and strong written communication skills.
- Solid organizational and problem solving skills· Solid computer skills including competence in word processing, spreadsheet, ATS and presentation software among others
