Job Title: Receptionist (with Travel Desk and Asset Management Responsibilities)

Reports to: Administration Manager / HR Head / Office Manager
Role Overview:
This role combines front-desk management with responsibilities for coordinating travel arrangements and managing office assets. The Receptionist will be the first point of contact for visitors and employees, ensuring smooth day-to-day office operations while overseeing travel logistics and maintaining accurate records of company assets.

Key Responsibilities:
Front Office / Reception Management:
• Greet and welcome visitors and employees in a professional, courteous manner.
• Manage the reception area to ensure a clean, organized, and inviting environment.
• Handle incoming calls, emails, and correspondence; redirect to appropriate departments.
• Manage incoming and outgoing courier services and maintain tracking records.
• Maintain visitor logs and issue visitor passes as required.
Travel Desk Management:
• Organize domestic and international travel arrangements for employees (flights, trains, hotels, transportation).
• Coordinate visa processing, travel insurance, and documentation as needed.
• Ensure cost-effective travel bookings while maintaining employee safety and comfort.
• Maintain updated travel records and ensure adherence to the company's travel policy.
Asset Management:
• Maintain accurate records of all company assets, including issuance, movement, and disposal of assets.
• Conduct periodic audits to verify asset conditions and locations.
• Coordinate procurement, tagging, and distribution of assets (laptops, mobiles, office furniture, etc.).
• Manage asset maintenance schedules and liaise with vendors for repairs and replacements.
Office Support:
• Maintain inventory of office supplies and place orders when necessary.
• Support HR and Admin teams during onboarding/offboarding processes related to ID cards, workstation allocation, and asset handover/return.
• Assist with facility management tasks like AMCs (Annual Maintenance Contracts) for office equipment.
• Support basic event coordination (meetings, workshops, office events).

Qualifications and Experience:
• Bachelor’s degree in any discipline.
• 2–5 years of experience in a receptionist/administrative support role, preferably with exposure to travel desk and asset management.
• Experience handling confidential information with professionalism.
