Overview If The Position
We are seeking a highly organized and customer-focused Receptionist Supervisor to oversee front desk operations and mail/office services. This role is responsible for supervising service delivery in accordance with the Statement of Work (SOW), ensuring a welcoming and professional environment, and maintaining excellent administrative support for clients, guests, and internal staff.
Key Responsibilities
Front Desk Management
Greet clients, vendors, job applicants, and visitors with courtesy and professionalism.
Answer and direct incoming calls within four rings or less.
Notify employees of guest arrivals and manage visitor check-in/check-out procedures.
Maintain a clean, safe, and organized lobby area.
Operate a multi-line telephone system and route calls appropriately.
Research and direct inquiries to appropriate business units or contacts.
Administrative & Office Services
Supervise day-to-day mail and office services operations per the SOW.
Order and maintain office supply inventory.
Schedule and manage conference room reservations.
Assist with AV setup for meetings and video conferences.
Perform administrative tasks using Microsoft Office Suite (Word, Excel, Outlook).
Generate and distribute monthly management reports, QBR data, and SLA metric reports.
Leadership & Support
Provide general clerical support to internal teams.
Lead, train, and support front desk staff as needed.
Handle confidential information with discretion and professionalism.
Other duties as assigned.
Qualifications
1-2 years of leadership or supervisory experience.
1-3 years of experience as a receptionist in a corporate or professional environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Exceptional verbal communication and phone etiquette.
Strong customer service orientation and problem-solving skills.
Ability to remain calm and composed under pressure.
Demonstrated professionalism in demeanor, appearance, and attitude.
Reliable, adaptable, and able to thrive in a dynamic environment.
Proactive, resourceful, and capable of working independently.
