The Quality Management Systems (QMS) Specialist serves as a key functional resource, ensuring adherence to quality standards and project management frameworks across the organization. This role bridges operational execution and process oversight by supporting audits, standardizing documentation, tracking compliance, and enhancing PMO practices. The specialist applies domain knowledge in QA methodologies (e.g., ISO, CMMI) and PM tools to improve efficiency, enforce governance, and drive continuous improvement initiatives.
Responsibilities
- Maintain internal Project Management Office (PMO) schedule, including scheduling and tracking of Monthly Management Review (MMR) reports and meetings, as required.
- Coordinate with Project Managers and BU leadership for submission of required reports, project metrics and project artifacts.
- Coordinate with PMs & QA & PMO leadership to schedule and conduct important project lifecycle management activities including project kick-off, project tailoring, project metrics management, and ongoing deliverable management as assigned.
- Instantiate new project repository and coordinate with project managers to keep the repository and associated internal and contract-required documentation current.
- Standardize project documentation across teams.
- Contribute to developing audit plans and schedule and send out audit invites.
- Attend project, process and other internal audits including QA of QA as required by CSS/Evolver/SBD Quality Management System and take audit notes as needed. Act as a back-up auditor as needed.
- Track and follow-up on corrective actions and audit follow up activities, as needed.
- Develop new or update existing QA checklists as needed and enforce compliance.
- Send Quality related communications to different stakeholders within the company as assigned.
- Plan/schedule/conduct Quality related trainings for PMs, Process Managers, and other stakeholders.
- Conduct QA & PMO orientation in the absence of QA & PMO leadership.
- Conduct periodic review/audit of process artifacts and templates released in PMO site including PAL as assigned.
- Compile metrics and other data from projects and processes and analyze for reporting to management.
- Propose and help implement process improvements. Coordinate with QA & PMO Leadership to track process improvement & document change requests and reach out to the requester(s) for additional information if needed.
- Coordinate with QA & PMO Leadership re: external audits/appraisal scheduling and organizational coordination.
- Plan/schedule/conduct lessons learned sessions, exercises on process improvement related projects/tasks etc. as needed.
- Manage access to internal PMO site and repositories as needed
Basic Qualifications
- Bachelor's degree in a related field required or at least 5 years of equivalent experience may be substituted for a degree.
- 2 years of experience with QMS
- 2 years of experience in process management
- 2 years of experience supporting project management and IT lifecycle management concepts
- Must be able to pass a comprehensive background check.
Preferred Qualifications
- 3 years of experience with QMS
- 3 years of experience in process management
- 3 years of experience supporting project management and IT lifecycle management concepts
- 2 Years of experience with SMS, ISMS & CMMI
- ISO Internal Auditor Certificate a plus but not required.
- CMMI Associate Certificate a plus but not required.
- Must have an impeccable work ethic, the ability to make sound decisions, and a commitment to integrity and accountability.
- Proficient with Microsoft Office Suite; specifically, Excel, Word, and Outlook a must. Familiarity with SharePoint a plus.
