The Role:
We are seeking a detail-oriented and highly organized
Property Operations Coordinator to join our team. This individual will play a critical role supporting Makom’s residential and commercial real estate operations by coordinating work orders, vendor management, and property maintenance activities. You will help ensure that Makom’s internal customers receive responsive, high-quality service while maintaining operational excellence.
Responsibilities:
Customer Service & Communication:
- Serve as the primary point of contact for incoming maintenance requests via phone and online communications.
- Discuss concerns with internal customers, troubleshooting issues when possible, and determine appropriate service responses.
- Develop and nurture professional relationships with internal customers and vendors to ensure excellent customer service.
Work Order Management:
- Review, assign, and monitor the status of all work orders to vendors and service teams.
- Ensure work orders are closed out promptly upon completion.
- Assist maintenance teams and vendors with unit access and resident coordination.
Vendor Management:
- Maintain up-to-date vendor contact lists.
- Ensure all vendor contracts are current, properly executed, and on file.
Operational Support:
- Manage day-to-day clerical and operational tasks to support property functions.
- Pay close attention to detail, prioritize tasks effectively, and maintain accurate records.
- Respond to emergency property situations as needed.
- Perform other duties assigned to support property operations.
Qualifications:
- High school diploma or equivalent (required).
- 2+ years of experience in customer relations, customer service, property management, or real estate.
- Strong problem-solving, critical thinking, and multitasking skills.
- Excellent written and verbal communication abilities.
- Strong organizational skills with an ability to manage competing priorities.
- Knowledge of mechanical systems of a home preferred.
- Ability to work cohesively with service teams and vendors.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel).
- Basic mathematical skills required.
Physical Demands:
- Regularly required to talk, hear, stand, walk, use hands to manage or feel, and reach with hands and arms.
- Must be able to lift up to 15 pounds.
Work Environment:
- This position operates in a professional office environment.
- Routine use of standard office equipment including computers, phones, photocopiers, filing cabinets, and fax machines.
