Our client is a well-established property management company seeking a Property Administrator to support their operations. This role offers a dynamic range of responsibilities, from vendor and tenant management to project support, all within a collaborative and efficient team environment.
Job Description:
The Property Administrator will assist in the day-to-day functions of property management, including managing vendors, overseeing tenant relations, handling accounts payable, and supporting marketing efforts. The role will involve both office management duties and involvement in various administrative projects to improve team efficiency and processes.
Key Responsibilities:
Vendor Management: Oversee vendor setup in Yardi, handle inquiries, track Certificates of Insurance (COIs), and maintain contract expiration records.
Tenant Administration: Maintain tenant records, assist with event coordination, manage office keycards and parking passes, and support tenant-related requests.
Accounts Payables: Process invoices, resolve vendor inquiries, and track utility bills for processing.
Project Support: Collaborate on special projects to improve internal systems and processes.
Marketing & Leasing Support: Help create marketing materials, assist with lease filings and tenant inquiries, and support leasing activities.
Office Management: Manage front desk operations, including phone and visitor coordination, as well as mail distribution.
HR Support: Assist with office kitchen and event coordination, and help with employee onboarding and celebrations.
Qualifications:
Prior real estate experience
Excellent written and verbal communication abilities
Proficiency in property management software such as Yardi is a plus
Ability to work independently and as part of a team in a fast-paced environment
Additional Details:
Work Schedule: Monday to Friday, 8:30 AM – 5:00 PM
Hybrid: 1 day remote, 4 days in the office
Parking: Available on-site
Compliance: Background check (state, county, federal) required, no drug screening
