Job Overview

We are looking for a dedicated and proactive Project, Programme, and Portfolio Management Coordinator to support the coordination and execution of Training Solutions and Coaching and Mentoring Services within our Project Management Advisory and Consultancy firm. The ideal candidate will be responsible for assisting in the planning, organization, and delivery of training programs, coaching, and mentoring services designed to enhance the skills of professionals in the field of project, programme, and portfolio management. Key Responsibilities

Training Solutions Coordination:

  • Coordinate the delivery of project, programme, and portfolio management training programs, ensuring they are organized, timely, and effective.
  • Schedule and manage training sessions, webinars, workshops, and seminars for both internal and external stakeholders.
  • Collaborate with trainers, facilitators, and subject matter experts to ensure content is relevant and up-to-date.
  • Maintain training schedules and communicate updates to participants and stakeholders.
  • Support the development and modification of training materials, including presentations, manuals, and other training resources.

Coaching and Mentoring Services:

  • Assist in organizing and coordinating coaching and mentoring services for project management professionals.
  • Manage logistics for coaching sessions, including scheduling, participant coordination, and tracking progress.
  • Act as a liaison between coaches, mentors, and participants to ensure alignment with development goals and client expectations.
  • Support the development of coaching and mentoring plans, ensuring they meet the specific needs of individuals and clients.
  • Track and report on the outcomes of coaching and mentoring programs, making recommendations for improvements as needed.

Program and Project Support:

  • Assist in tracking and reporting on the progress of training, coaching, and mentoring programs.
  • Ensure all projects are aligned with client needs and industry best practices, delivering value and quality service.
  • Maintain records and documentation related to all training and mentoring activities, including feedback, certificates, and evaluations.
  • Provide administrative support to project managers and senior consultants to ensure seamless program execution.

Client and Stakeholder Engagement:

  • Serve as a point of contact for clients regarding training, coaching, and mentoring services.
  • Build and maintain strong client relationships by providing regular updates and ensuring client satisfaction.
  • Gather and analyze feedback from clients and participants to continuously improve services.
  • Prepare and deliver progress reports to clients and senior management, highlighting key achievements and areas for improvement.

Logistical Coordination:

  • Coordinate with external training providers and coaching professionals to ensure timely delivery of services.
  • Organize materials, resources, and equipment for training and coaching sessions, ensuring everything is prepared in advance.
  • Support the planning and execution of special events, including training programs and networking sessions.

Monitoring and Evaluation:

  • Track the effectiveness of training, coaching, and mentoring services through evaluations and feedback.
  • Produce reports on the performance and success of the programs, including recommendations for future improvements.
  • Assist in the preparation of training and program evaluations, ensuring accurate and timely reporting.
Qualifications and Skills
  • Education:
  • A Bachelor’s degree in Project Management, Construction Management, Construction Studies, or a related Built Environment field is preferred.
  • Experience:
  • 2-3 years of experience in training coordination, project management, or coaching and mentoring.
  • Previous experience coordinating professional development programs, specifically in project, programme, and portfolio management, is highly desirable.
  • Skills:
  • Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with the ability to interact with clients and stakeholders at all levels.
  • Familiarity with Learning Management Systems (LMS) and coaching software tools is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Attention to detail and the ability to prioritize tasks effectively in a fast-paced environment.
  • Ability to adapt and provide customized solutions to meet client needs in training and development programs.

Working Conditions
  • Hours: Full-time (Monday to Friday, 8:00 AM - 5:00 PM)
  • Location: Plattekloof, Cape Town
  • Travel: Occasional local travel may be required for client meetings or training sessions.
