Job Description POSITION OBJECTIVE This Project Manager is a critical member of the operations team in the Office of the Provost. This position manages a diverse portfolio of high-level special projects in support of the strategic priorities of the Office of the Provost in advancing the academic mission and goals of the institution. The project manager will effectively oversee resources, timelines, and stakeholder communications to ensure the successful execution of projects while functioning in a fast-paced environment. ESSENTIAL FUNCTIONS * Manage the operational execution of special projects in support of the strategic priorities of the Office of the Provost including AI Symposium/training sessions; International and Interdisciplinary Symposium series; accreditation site visit coordination; Board of Trustees week coordination of activities (speakers, presentations, liaison with Office of the President); and special provost-hosted donor meetings. (20%) * Create comprehensive project plans that outline objectives, timeline, resources, and deliverables. Responsible for tracking projects from start to finish to meet stakeholder expectations, including task delegation, communications, document storage and management, coordination of cross-functional teams, proactive identification of potential obstacles and risks and oversight of logistical details of events related to projects. (20%) * Establish metrics to monitor project progress and performance. Conduct benchmarking and research to assess the effectiveness of existing events and projects. Develop and maintain a data-driven evaluation system to monitor event success. Prepare and present reports to the provost and other senior leadership on project status, achievements and recommend strategies for improvement. (10%) * Develop and standardize operating procedures for the Office of the Provost, including workflow, points of contact, templates for event brief templates, planning guides, project tracking systems, and shared file organization and management. (10%) * Working closely with the Senior Director of Finance, develop and manage project budgets, providing reports and periodic updates on the allocation of resources related to strategic priorities. Review financial expenditures reports for accuracy. (10%) * Faculty Awards Management: identify opportunities for faculty awards and disseminating information to Office of Faculty Advancement, deans, department chairs and faculty as appropriate. Working through the project specialist, assist with details needed by the Office of the Provost in support of faculty awards applications (nominations, recommendations, etc.). (10%) * Provide leadership and direction to project teams, fostering an environment of collaboration, efficiency, and a high-quality standard of work. Responsible for all facets of supervision of the project specialist, including hiring, performance management, and termination decisions. (15%) NONESSENTIAL FUNCTIONS * Provide backup coverage for the administrative and operational support staff in the Office of the Provost as needed. (2.5%) * Perform other duties as assigned. (2.5%) CONTACTS Department: Continuous contact with Office of the Provost staff for project and event coordination, support and operational oversight of the office. University: Regular interaction with academic departments, faculty, deans¿ offices, the Office of the President, and other university general departments reporting to the provost for the collaboration, planning and execution of projects. External: Moderate interaction with external stakeholders (event speakers, vendors) in the execution of projects and events. Students: Occasional contact with students for strategic projects as needed. SUPERVISORY RESPONSIBILITIES Supervises project specialist. QUALIFICATIONS Experience: 2 years of experience in project management, event management, administrative support, and/or organizational programming required. Experience working in a higher education environment preferred. Education: Bachelor's degree required. Master's degree preferred. REQUIRED SKILLS * Ability to manage a diverse portfolio of high-level projects and multi-task in a fast-paced environment. Demonstrate strict attention to detail and accuracy to produce high-quality, error-free work. * Ability to work independently with limited supervision and make appropriate decisions. * Proven ability to troubleshoot and to identify problems and appropriate responses to complex issues. * Clear and professional written and oral communication skills. Ability to interact with internal and external constituents. * Demonstrated proficiency in creating comprehensive project plans, setting objectives, timelines, and tracking progress. Exceptional organizational and time management skills. * Experience in developing and managing project budgets and providing financial reports and updates. * Ability to troubleshoot technical problems. Familiarity with Campus Groups, Drupal, and Canva. Exceptional proficiency in Microsoft Word, Excel, PowerPoint, and Google Suite. * Demonstrative initiative and creativity. * Capability to lead project teams and supervise support staff, ensuring high standards of work and collaboration. Desire and ability to work in a team. * Flexibility to adapt to changing needs. Ability to function effectively in a fast-paced environment and provide administrative and operational backup support as needed. * Thorough knowledge of standard office procedures and processes. * Demonstrated history of successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest. * Proven professional demeanor with tact, courtesy, and diplomacy. Ability to maintain confidentiality and discreetly handle sensitive information. Ability to meet consistent attendance. * Ability to interact with colleagues, supervisors, and customers face to face. WORKING CONDITIONS General office environment with no unusual safety or health hazards. Position requires attendance at events related to special projects, requiring travel to on- and off-campus locations. This position is not eligible for remote work.
