Summary

Purpose

The Project Coordinator supports Project Managers (PMs), Engineering, and Sales teams by managing the logistical and administrative aspects of projects. This role ensures that sales orders, shipments, change orders, and other project tasks are processed accurately and efficiently. The Project Coordinator is essential to maintaining smooth project operations through detailed tracking, effective communication, and collaboration with internal teams and external partners.


Responsibilities

Order Management and Documentation:

  • Receive direction from PMs, Engineering, and Sales to enter, process, and maintain sales orders.
  • Manage box orders, create change orders, and flip all quotes to sales orders in Q360.
  • Update HubSpot with relevant project details as required.
  • Submit accurate reports and other required paperwork in a timely manner.


Technician Coordination:

  • Create technician assignments and corresponding purchase orders (POs) for PM verification and finalization.
  • Collaborate with accounting to process technician paperwork and ensure timely payments.


Logistics and Shipment Tracking:

  • Track daily shipments to and from field operations and installers to ensure timely and accurate deliveries.
  • Communicate shipment statuses and address any issues promptly.


Collaboration and Support:

  • Assist the team in various capacities as deemed necessary to ensure project success.
  • Maintain open communication with internal teams to address and resolve project-related concerns.
