Summary

We are an experiential design/build firm specializing in brand experiences, social & corporate events, and some commercial/residential interiors. We are seeking a detail-oriented and organized Project Coordinator to support our creative and operations teams in delivering exceptional client experiences. The Project Coordinator will work closely with the creative, production, and project management teams to ensure efficient workflows, accurate tracking, and seamless communication across all departments. This is a full-time salaried in-person position located at our headquarters in Upper Marlboro, MD, with occasional travel to client sites in the Washington D.C. metro area and beyond.


Skills and Qualifications


• Minimum 2-4 years of experience in event production, project coordination, or a related field.

• Exceptional organizational and time-management skills with an ability to manage multiple tasks simultaneously.

• Strong attention to detail with a focus on accuracy and accountability.

• Proficient in project management software (e.g., Monday, Asana, Smartsheet) and Microsoft Office Suite (Word, Excel, PowerPoint).

• Excellent interpersonal and communication skills (both verbal and written).

• Experience with logistics, scheduling, and procurement

• Team-oriented with a proactive attitude and problem-solving mindset.

• Familiarity with event production is beneficial but not required.


Job Duties


• Coordinate project tasks to ensure seamless workflows across teams.

• Support the design and production teams by tracking project deliverables, timelines, and budgets.

• Maintain internal systems for project tracking, documentation, and task management.

• Assist with gathering and organizing project collateral, ensuring all resources are up-to-date and accessible.

• Act as a liaison between departments to ensure clear communication and alignment on project goals.

• Coordinate with vendors and suppliers to maintain timelines, quality, and cost-effectiveness.

• Prepare meeting agendas, track action items, and ensure follow-through across teams.

• Create and organize design and installation paperwork.

• On occasion attend on-site installations to provide support and troubleshoot issues as needed.

• Identify areas for process improvements and assist in implementing new systems to enhance operational efficiency.


Requirements


• Bachelor’s Degree in Business, Communications, Design, or a related field is preferred but not required.

• Minimum of 2-4 years of experience in project coordination or a related role.

• Strong organizational and time-management skills with the ability to adapt to shifting priorities.

• Familiarity with event production and operations is a plus.

• Must be comfortable working in a fast-paced, deadline-driven environment.

• Must be available to meet the demands of peak seasons (Spring and Fall) which require increased hours past a standard work week.


Compensation


Salary for this Project Coordinator position ranges from $50,000–$65,000/year, depending on experience, with additional opportunities for performance-based bonuses.
