HFR, a 55-person architectural & engineering firm in Duluth, Georgia, is seeking a detail-oriented Project Coordinator to oversee project planning, coordination, and execution. The ideal candidate will have strong analytical skills, a proactive problem-solving approach, and a commitment to efficiency. Key Responsibilities:
- Maintain a real-time spreadsheet to track project milestones, timelines, and current standings.
- Provide clear and consistent status updates to clients and internal team members to ensure seamless communication.
- Attend internal and client meetings, document discussions, and prepare professional meeting minutes.
- Coordinate with local jurisdictions to confirm permit submittal requirements at project initiation.
- Schedule and reconfirm permit submittal requirements prior to submission.
- Assist in the completion and submission of permit applications through online and mail-in processes.
- Conduct follow-ups with permitting authorities to track progress and resolve any submission issues.
- Process permitting fees, ensure timely payments, and submit receipts for accounting reconciliation.
- Review and approve incoming and outgoing invoices, ensuring compliance with financial protocols.
- Arrange and manage travel logistics for team members as needed.
- Act as the primary point of contact for architects when they are unavailable, handling inquiries professionally.
- Coordinate meeting schedules, invitations, and conference calls to optimize communication.
- Oversee studio calendar management, ensuring efficient scheduling and project alignment.
Qualifications:
- 3-5 years of experience in project coordination, preferably within an architectural or construction firm.
- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication abilities to facilitate clear stakeholder interactions.
- Proficiency in project management and scheduling tools (e.g., Ajera, Microsoft Office Suite, Smartsheet, Bluebeam) & familiar with industry tools (i.e. AutoCAD, Revit).
- Ability to work independently while collaborating effectively within a team environment.
- Knowledge of permitting processes and industry regulations
- Ability to work a standard 40-hour workweek during regular business hours.
