Description
We are looking for a highly organized and proactive Project Assistant to join our team in Worcester, Massachusetts. In this role, you will play a key part in supporting project operations by ensuring smooth workflows, maintaining accurate records, and coordinating efforts across various departments. This is a long-term contract position, ideal for someone with strong administrative skills and a keen eye for detail.
Responsibilities
- Coordinate and organize meetings, ensuring all necessary materials and schedules are prepared in advance.
- Monitor project timelines and workflows to ensure tasks are completed on schedule.
- Provide administrative support, including data entry, file organization, and maintaining confidentiality of sensitive information.
- Communicate effectively with internal departments and external vendors to streamline project operations.
- Track and update project information using Microsoft Excel and other tools.
- Assist with daily office tasks such as scanning, shipping, and file management.
- Prepare reports and presentations using Microsoft Word, PowerPoint, and Outlook.
- Support customer service efforts by addressing inquiries and resolving issues promptly.
- Ensure proper documentation and filing systems are maintained for easy access and retrieval.
Requirements
- Minimum of 2 years of experience in a similar administrative or project support role.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication abilities.
- Experience in data entry and maintaining accurate records.
- Familiarity with coordinating vendor communications and managing shipping functions.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong customer service skills and a proactive approach to problem-solving.
