Description
We are looking for a dedicated Project Assistant to join our team on a contract basis in Santa Barbara, California. In this role, you will play a pivotal part in ensuring the success of events by providing organizational and administrative support. The ideal candidate is detail-oriented, proactive, and capable of delivering excellent customer service in fast-paced environments.
Responsibilities
- Coordinate guest registration processes, including managing check-ins and scanning tickets.
- Provide clear directions to attendees and assist in maintaining smooth traffic flow at event locations.
- Organize and maintain event-related files and documentation to ensure accuracy and accessibility.
- Utilize Office tools, such as Excel, Word, and PowerPoint, to prepare reports, presentations, and other materials.
- Support shipping and logistical functions to ensure timely delivery of event supplies.
- Perform data entry tasks with precision to maintain accurate records.
- Assist in managing timelines and tracking project milestones to ensure deadlines are met.
- Communicate effectively with team members and event staff to resolve issues and ensure seamless operations.
- Monitor and respond to emails using Outlook for effective correspondence.
- Maintain a neat and appropriate appearance and adhere to the required dress code during events.
Requirements
- Strong proficiency in Microsoft Office tools, including Excel, Word, PowerPoint, and Outlook.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent customer service skills and a friendly, approachable demeanor.
- Ability to work effectively in a team and independently in fast-paced settings.
- Attention to detail and accuracy in data entry and file management.
- Strong communication skills, both written and verbal.
- Willingness to adhere to event-specific dress codes and guidelines.
- No prior experience required, but a proactive attitude and willingness to learn are essential.
