The Project Administrator/Coordinator plays an important support role in the planning, organization, and execution of projects from inception to close-out. The Project Administrator/Coordinator will be responsible for the coordination and monitoring of administrative project activities while maintain effect communication with the project team, stakeholders, and vendors.


Responsibilities

  • Maintains accurate project documentation. Ensures distribution of project documents and plans to business partners.
  • Prepares, distributes, and maintains job-start documentation including project directory, subcontracts, and purchase orders using project management tools and systems.
  • Timely processing of RFIs and submittal. Maintains RFI and submittal logs.
  • Ensures compliance with all contracts’ execution and insurance requirements.
  • Manages project closeout process including turnover package assembly.
  • Assist the project team in managing the flow of information internally and externally including contractor invoices, lien releases, and contract supporting documentation.
  • Updating project information and data using Procore and other project management tools.
  • Attend meetings as required.
  • Additional tasks and responsibilities as needed.

  • Demonstrated problem-solving abilities and the capacity to handle challenges in a dynamic environment.
  • Ability to work under pressure and meet deadlines while maintaining a positive and proactive attitude.
  • Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks effectively.
  • Proven experience as a Project Coordinator in the construction industry, with a track record of successful project delivery.
  • Proficiency in project management software and tools (e.g., Procore), Microsoft 365, SharePoint, Bluebeam.


Education: High school diploma, college degree preferred

Experience: 3-5 years of professional experience, construction experience helpful

Non-Exempt: range is annualized $55,000 - $70,000
