💯 PURPOSE OF THE POSITION


The Project Administrator (Building and Construction) will be responsible for performing all the administrative duties related to the projects and ensuring the projects are completed on a timely basis. Co-ordinating project work and activities ensuring that all works sync with project goals and objectives while maintaining the quality of the projects. He/she is to ensure proper documentation, applications, approvals to the respective government departments accordingly. Working closely with the Director, National Manager, Project Manager including contractors, subcontractors, architects, designers and other stakeholders. 


🎯 DUTIES & RESPONSIBILITIES

Project Administration

• Maintain relevant project data, documentation in system and share folders.

• Oversee the upkeep of project documents to ensure following the requirements by the

relevant authorities.

• Create Project Initiation Documents for new projects including Letter of Award,

Contracts etc.

• Communicate and collaborate with contractors during pre-construction, construction

and job close-out phases of project.

• Collaborate monthly and communicate project status and update to the management and Project Manager.

• Ensure New Opportunities meetings are conducted smoothly – from developing clear

agendas to recording and writing minutes, allocating actions and maintaining the New

Opportunities list.

• Ensure timesheets are completed on a weekly basis.

• Ensure project completed on timely basis.

Financial Administration

• Update on the project financial reports and ensure working within the budget.

• Coordinate the team’s input to project forecasting (revenue and costs).

• Prepare letter of awards, raise purchase order and related documents.

• Assist with time management and expenses against projects.

Construction Supervision

·  Supervise day-to-day construction activities, ensuring tasks are completed on time, within scope, and according to quality standards.

·  Ensure that the construction team adheres to safety standards, procedures, and regulations.

·   Monitor the work of subcontractors and other external personnel to ensure alignment with project requirements.

·   Conduct regular site inspections and ensure proper documentation of site activities.

·   Resolve issues related to construction delays, quality, or personnel on-site.


🎯 QUALIFICATIONS & REQUIREMENTS

  • University degree or diploma in Construction Management, Civil Engineering, or a related field.
  • Minimum of 3-5 years of experience in project administration or construction supervision or similar experience.
  • Strong understanding of construction processes and industry standards.
  • Excellent communication and negotiation skills.
  • Proficient in project management software and MS Office Suite.
  • Familiarity with construction safety practices and local regulations in Malaysia.
  • Good / safe driving skill
