Summary

The Project Accounting Assistant provides financial and administrative support to client-facing teams, focusing on administrative tasks including project setup, billing, and data entry. This position is a key contributor to the accounting department and works closely with both internal colleagues and Client Project Managers. This role will have visibility with all levels within the firm.

Essential Duties And Responsibilities

  • Open new projects and ensure all relevant project and billing information is accurately captured and entered into the system.
  • Maintain and update active projects, including changes in project phases and project or billing managers as necessary.
  • Ensure project data and new projects are maintained promptly and accurately in accordance with accounting policies and procedures.
  • Monitor project compliance with accounting controls, internal processes, and industry best practices.
  • Collaborate with internal teams and clients to support efficient project execution and billing.
  • Responsible for accurately and efficiently entering invoice data into designated systems, verifying information, and ensuring data integrity.

Required Knowledge, Skills, And Abilities

  • Ability to define problems, collect data, establish facts, and draw sound conclusions.
  • Outstanding writing, communications, and interpersonal skills.
  • Proficient in Microsoft Office, especially Excel and Word; experience with Unanet A/E is a plus.
  • Strong analytical and critical thinking abilities as well as organizational skills.
  • Ability to manage both high-level priorities and detail-oriented tasks.
  • Professional judgment to determine when to escalate issues or offer support.
  • Self-motivated, proactive, and committed to delivering high-quality client service.
  • Ability to work effectively with senior project managers and cross-functional teams.
  • Must be fluent in the English language.

Education And Experience

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Business or a related field preferred.
  • 1-3 years of relevant administrative or accounting experience, ideally within professional services or a project-based environment.

CERTIFICATES, LICENSES, AND REGISTRATIONS

  • Valid driver’s license required.

This position primarily operates in a professional office environment with regular use of standard office equipment, including computers. Prolonged periods of sitting and computer use are required.

The employee is frequently required to reach with hands and arms, and occasionally required to sit, climb or balance, stoop, kneel, crouch, or crawl.

The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
