POSITION TITLE: Programs Coordinator 

A. JOB SUMMARY

The Programs Coordinator is a full-time professional position responsible for assisting the continued growth of CIC programs, communications, and engagement initiatives. The Programs Coordinator ensures efficient organization and processing of inquiries and requests while maintaining clear communication with team members, clients, participants, partners, volunteers, and stakeholders. The Programs Coordinator will assist the Programs team, the Communications team, and the Chief Operating Officer, with the coordination, scheduling, reporting and workflow for programs and communications efforts, in association with, but not limited to, the signature 16-Week Entrepreneur Workshops (3 locations), the Financial Management Program (FMP), Mentoring, Small Business Circles (SBC), Resource Fairs, Office Hours, Microgrants, RISE Collaborative, and volunteers. The Programs Coordinator will report to the Chief Operating Officer and/or a delegated managerial team member.


B. DUTIES AND RESPONSIBILITIES 

Within the limits of the CIC’s programs, communications, outreach, policies, procedures, and budget, the Programs Coordinator is responsible for the duties listed below: 

  • Program Administration: Identify potential clients, small business owners, and entrepreneurs for programs, assist with the workshop participant selection process, monitor program assessments, manage training documentation, facilitate mentoring pairings & check-ins, and ensure accurate client data entry in Salesforce or applicable programs. 
  • Communications Administration: Manage and schedule meetings with clients, partners, volunteers, and supporters for profiles, coordinate logistics, manage posting schedules, website, report & newsletter content, and maintain a collaborative communications calendar.
  • Event Coordination: Plan classes, workshops, networking nights, graduations, reunions, fundraising, training, and other events, including securing venues, coordinating catering & decor, scheduling photos, organizing materials, and maintaining a collaborative events calendar.
  • Volunteer and Contractor Coordination: Recruit, onboard, and maintain active lists of volunteers and contractors for all programs, across regions. Arrange orientations, schedule assignments, and manage forms & applications.
  • Resource Fair Coordination: Assist in the organization and execution of Resource Fairs, including venue and volunteer management, and coordinate schedules, materials, sign-ups, and communication timelines.
  • Administrative Assistance: Provide administrative support to the Chief Operating Officer, Programs team, and Communications team, across regions, to include gathering and collecting information, compiling notes, reports & requests, answering & directing inquiries, and completing associated activities to ensure effective coordination, collaboration, and communication across divisions.
  • Compliance Oversight: Understand goals associated with operations, grants, programs, and events. Assist in the establishment and maintenance of processes to meet and track milestones, determine client eligibility based on financial needs, and monitor progress.
  • Additional duties as assigned. 


C. REQUIRED QUALIFICATIONS 

  • Passion for small business and entrepreneurship, creating a more equitable ecosystem for entrepreneurs of diverse backgrounds, and driving economic development through entrepreneurship and innovation. 
  • Degree or comparable experience in Business Administration, Non-Profit Management, or a related field. 
  • Strong team, organization, administration, communication, creative thinking, and interpersonal skills.
  • Understanding of the principles, standards, and practices of small and micro business operations including financial management, project management, communications and/or marketing. 
  • Demonstrated ability to collaborate and foster inclusive environments, while working with diverse communities and teams, and effectively engage, establish, and maintain relationships with diverse stakeholders, including entrepreneurs, industry professionals, ecosystem partners, and local officials. 
  • Ability to work in a fast-paced environment and be adaptable to change. 
  • Ability to work independently to manage multiple activities and deadlines, prioritize tasks, and resolve problems. 
  • Strong attention to detail, analytical skills, and experience with data collection.
  • Proficiency in Microsoft Office (Excel, Word, and Outlook), OneDrive, Google Suite, database management, and task management systems (e.g., Trello, Asana). 


D. PREFERRED QUALIFICATIONS 

  • Experience working with or servicing under-resourced or under-served populations.
  • Minimum of one (1) year of demonstrated experience in entrepreneurship or innovation-related roles. 
  • Familiarity with virtual collaboration tools and online learning platforms (e.g., Google Meet, Google Classroom, Zoom). 
  • Experience with CRM systems, particularly Salesforce. 
  • Understanding of basic financial principles and budget management. 
  • Proficiency in leveraging technology and digital tools to enhance program delivery and participant engagement. 
  • Ability and willingness to utilize new technology solutions (e.g. AI technology). 


E. WORK ENVIRONMENT 

  • This position will require evening and occasional weekend work to accommodate program schedules and events. 
  • Travel may be required to attend meetings, conferences, and events. 


F. COMPENSATION 

  • Full time, salaried compensation of $45,000 to $48,000 annually, plus health insurance, dental insurance, and retirement benefit.
