Position Summary
A Program Specialist is responsible for program management and administration. This position works closely with the Program Owner to keep the program running smoothly to the satisfaction of the client.
Essential Functions
- Plans, directs, and coordinates activities associated with the program
- Support the adoption of program management standards and practices (including methodology, frameworks, processes, tools and templates, and deliverables) to support a major client
- Coordinate the creation of requirement documents and ensure they are completed as expected.
- Assist in creating and maintaining program timelines, assigning tasks to team members, and monitoring progress against the schedule
- Track program resources and identify potential resource gaps
- Maintain a Communications Plan tracking deliverable due dates
- Support governance meetings by preparing and sharing agendas for internal and client meetings, capturing takeaways and follow up items
- Maintain our centralized document repository including folder structure for all program documentation.
- Coordinate the creation of status reports, to share regular updates on program progress to key stakeholders.
- Maintain a RAID log by entering and tracking work and chasing team members for updates; identifying risks and issues and coordinating mitigation/action plans
- Assists in managing or leading initiatives with the program team and client stakeholders
- Coordinating team effort to complete program deliverables e.g. status updates, requirements docs
- Capture required actions and decisions needed/made to help direct the team on tasks and plans.
- Supporting the change request/order process per client vendor team requirements. Maintain a change log and coordinate the review and approval process.
- Maintain our central repository of documents (internal and external)
- Maintain and monitor our comms plan with upcoming deliverable due dates
- Monitors the implementation of all contractual obligations
- Serves as secondary point of contact for the client

Education & Licensing
- Bachelor’s degree (required)
- PMP certification (preferred)
Experience
- 3-5 years of experience in Program Management (required)
- Healthcare/Mental Health industry experience (preferred)
- Process improvement experience (preferred)
- Change Management experience (preferred)
- Consulting experience (preferred)
Physical Work Requirements
Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by
noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
The starting pay range for this position is $48,800 - 59,100 per year. The position’s pay range represents the national average pay for similar roles. R3 considers factors such as (but not limited to) experience, internal pay equity and other business considerations when extending an offer.
