The Program Facilitator has the primarily responsibility to support Child and Family Services-Head Start and Early Head Start program operations. Program operations include but are not limited processing and paying invoices, completing monthly billing reports, answering and directing calls, and supporting centers, content managers and directors.
Responsibilities
Perform additional duties and participate on work committees as assigned.
Provides support to the Child and Family Services Director, Head Start and Early Head Start Director, CFS Leadership team and center leadership.
Support all office management including purchasing of supplies and materials.
Assist with preparing for meetings and trainings. Prepare, edit and/or modify a variety of written materials (e.g. correspondence, memos, meeting minutes, policy and procedure, and reports, etc.) for the purpose of documenting activities and or conveying information.
Assist with recruitment and retention activities, including screening, scheduling interviews, and preparing personnel and payroll forms for Child and Family Service applicants seeking employment.
Reviews and track purchase approvals, invoices and purchases, and check requests for accuracy. Submit for approval in adherence to established timeframes. Work closely with accounting to meet deadlines.
Maintains program inventory each year.
Reviews all invoices for amounts and grant coding for all CFS staff.
Provides support to Quality Assurance Manager with ChildPlus and data entry when requested.
Completes and compiles program participant survey information.
Submits office maintenance requests, using the work order system, immediately as needs are reported or discovered.
Education And Experience
An Associate’s or Bachelor’s degree. Experience may be considered.
Proven experience in as an administrative assistant or similar position with time management skills to complete a high volume of varied responsibilities in a fast-paced work environment.
Knowledge, Skills, Abilities
Demonstrate proficiency in quality improvement, performance measurement, and/or program evaluation and demonstrate advanced computer skills (Windows operating system and Office products, including Word, Excel and Outlook). Ability to learn and use any other software programs needed in the operations of CTL programs.
Work independently with minimum supervision and maximum accountability. Possess excellent interpersonal skills and the ability to work well with all levels of management, staff, and families.
Prioritize and execute multiple projects under demanding deadlines with attention to detail.
