Salary Range:

Program Manager: Up to $53,000 annualized, commensurate with education, experience and qualifications.

Senior Program Manager: Up to $65,000 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, exempt.

Job Summary

Essential Functions

Program Manager

To coordinate the operation of programs or projects, exercising independent judgement and authority as required.

Senior Program Manger

To perform advanced program administration, development and coordination. Responsible for all phases of program development and coordination of program activities as well as reporting requirements.

This is a grant-funded position with expected funding for 4 years. This position may be extended based on availability of funds and departmental need.

Core Responsibilities

Program Manager

  • Responsible for assigned phases of programs, which may include budget decisions, program selection, staff supervision, future planning, and innovation.
  • Proposes, evaluates and coordinates the implementation of programs.
  • Plans, schedules, and coordinates activities in assigned programs and projects.
  • Ensures program needs are met through resource planning, tracking, and management. Resources include talent, supplies, and facilities.
  • Produces and distributes program materials.
  • Coordinates marketing and communication activities for the program, including with external stakeholders
  • Evaluates program activities and makes recommendations for changes and enhancements.
  • Makes recommendations to ensure the program evolves as necessary to continue to serve the mission.
  • Maintains tracking and reporting systems to monitor program/ participant progress and results.
  • Provides data and progress/status reporting as necessary for program sponsors and other university personnel.
  • Creates reports to reflect student progress and program levels, and assists in the creation and maintenance of internal controls to protect student confidentiality and program reporting.
  • Interacts with university departments, special groups, and external agencies to coordinate resources and communicate/market programs.
  • Keeps director/administrator apprised of the status of proposed and ongoing programs/projects.
  • Establishes and maintains contact on behalf of the director/administrator with federal, state, private, and/or local sponsors of grant/contract opportunities to facilitate project development and/or administration.
  • Promotes an environment of safety and protection by immediately reporting unsafe situations, spills, and accidents; following University safety plans/procedures/protocols; and participating in appropriate safety training.

Senior Program Manager

  • Administers, coordinates, and participates in activities involved in assigned programs or projects, including budgeting, scheduling, marketing, training, and evaluating programs.
  • Develops and implements standards for the attainment of program goals and objectives.
  • Maintains frequent interaction with departments, special groups, and external agencies in administering programs.
  • Facilitates the development of new partnerships for various programs.
  • Evaluates and reports on program results.
  • Recommends new policies and procedures for improvement of program activities.
  • Coordinates staff training and development.
  • Determines work priorities.
  • Works on special projects as assigned.
  • Participates in professional seminars and meetings.

Both levels

  • Organizes and provides oversight for events, such as orientations and end of semester celebrations, with the highest quality of planning, execution, and marketing. May involve engaging partners and collaborators at all professional levels and working in multidisciplinary teams.
  • Addresses professional or civic organizations and other interested groups on behalf of the director/administrator.
  • Oversees the business and personnel operations of the unit in the absence of the director/administrator.
  • Performs other duties as assigned.

Required Qualifications

Program Manager

  • Bachelor’s degree from an accredited institution.
  • Three (3) years of related experience

Senior Program Manager

  • Bachelor’s degree from an accredited institution.
  • Six (6) years of experience in program management.

Preferred Qualifications

Program Manager

  • Master’s degree from an accredited institution.

Senior Program Manager

  • Master’s degree from an accredited institution.
  • Three (3) years of supervisory experience.
  • Similar experience in higher education or government.
  • Knowledge of UT System rules and regulations.

Knowledge, Skills, And Abilities

Senior Program Manager

  • Independent decision-making and problem-solving ability.
  • Knowledge of Peoplesoft.

Both levels

  • Demonstrated ability to establish and maintain effective working relationships.
  • Self-starter with strong attention to detail.
  • Highly developed interpersonal skills and demonstrated ability to deal with a variety of people in a professional and courteous manner.
  • Excellent written and oral communication skills.
  • Ability to work in a fast-paced, deadline-driven role with exceptional skills in balancing competing
  • Knowledge of grants and contracts policies and procedures.
  • Experience with Microsoft Office Suite and Adobe applications for PDF creation, conversion, and modification.
  • Knowledge of Banner, Canvas and Docusign preferred.

Working Conditions

  • Office environment.
  • May require occasional weekend/extended hours to meet deadlines.

Physical Demands:

  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.

This position will be primarily located on campus. Travel and parking expenses are the employee’s responsibility.
