Department Specific Responsibilities

  • Serves as Program Manager for the IU EBP Training Center. Work closely with the Executive Director, clinical trainers/consultants, and other project staff to develop and carry out EBP training and fidelity monitoring activities.
  • Maintains primary responsibility for systems for tracking registration, continuing education, and rosters of trained providers.
  • Serves as program manager for the Evidence Based Practice Training Center at IU School of Medicine.
  • Facilitates team meetings, monitor progress and help accomplish duties/roles assigned to team members, maintain minutes, reports, and other relevant documentation.
  • Supports the Executive Director in facilitating subcontracts with clinical trainers/consultants in collaboration with Psychiatry Department finance staff.
  • Reviews for accuracy and process payment of invoices from subcontractors in collaboration with Psychiatry Department finance staff. Maintain accurate financial records.
  • Coordinates and facilitates meetings between Center leadership/staff and DMHA, community partners, clinical training providers/consultants, etc.
  • Independently responds to queries about training program logistics to the EBP Center group email.
  • Organizes and implements in person and virtual continuing education trainings for mental health professionals.
  • Prepares promotional and orientation materials.
  • Collaborates with IU School of Medicine CME Office to obtain approval for trainings.
  • Collaborates with support staff to coordinate scheduling, travel arrangements, and other logistics with clinical trainers/consultants.
  • Uses videoconferencing software (ex: Zoom, Microsoft Teams) to facilitate virtual trainings.
  • Collaborates with support staff to coordinate logistics for in person trainings (ex: identifying and booking location, organizing refreshments/meals, etc.).
  • Develops and maintains primary responsibility for systems for tracking scheduling, registration, continuing education, transcripts of training provided, and rosters of trained providers.
  • Works closely with the Executive Director, clinical trainers/consultants, and other Center staff to develop and carry out fidelity monitoring activities.
  • Manages updates for website in collaboration with IUSM communications team.
  • Responsible for basic editing and archiving of video recordings of training opportunities and webinars.
  • Creates monthly newsletter to be posted online and distributed via email or other channels to providers and other stakeholders.
  • Support the Executive Director in preparing all required reports to DMHA.

General Responsibilities

  • Conducts research and compiles materials and information for departmental programs.
  • Prepares records of program activities; oversees and ensures the timely processing and delivery of required materials.
  • Reviews the policies and procedures involved in departmental programs; suggests improvements; and ensures that rules comply with university standards.
  • Analyzes data and information generated or produced by program; writes reports and other written materials based on this data.
  • Verifies the accuracy of all data and information used or generated by program; resolves any discrepancies or problems.
  • Responds to requests for program information by staff, students, and faculty; handles any necessary correspondence.
  • Serves as liaison for department; coordinates activities and exchanges information.

EDUCATION

Required

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
