Position Summary

The Program Coordinator, reporting directly to the Chairperson of the History Department, provides lead administrative support for the Chairperson of the History Department. This position also provides administrative support to the History graduate program, under the supervision of the Gradual Director. Other duties include overseeing the overall daily operating functions of the History department, supervising student employees, managing communication with undergraduate and graduate alumni, providing administrative support for faculty searches, and performing additional duties as assigned.

Duties And Responsibilities

Graduate Program Support

For Graduate Admissions Process

  • Monitor and process graduate applications for graduate and certificate programs on Slate. Manage processing of double degree and certificate applications.
  • Coordinate and disseminate applicant information to faculty for funding decisions.
  • Communicate with Graduate Studies, the Registrar and other departments within the university that interact with the Graduate Program as needed.
  • Communicate essential information about the program to newly admitted students.
  • Keep track of graduate student funding and communicate with the Director and Graduate Studies about funding as needed.

For Registration Process

  • Prepare graduate course catalog each semester; distribute the list of course offerings to graduate students and faculty members each semester; assist graduate students with registration.
  • Communicate regularly with graduate students about course registration, advising meetings, graduation requirements and other routine matters
  • Assign advisors to incoming graduate students through Banner and update as needed.

Regarding Student Resources

  • Prepare staffing reports for graduate assistants and tuition scholars.
  • Update graduate student information on Banner and Degree Works as needed
  • Assign and communicate with graduate students who are proctors for exams
  • Update documents related to the Graduate Program such as the Graduate History Program handbook and the University Course Catalog as needed.
  • Collect and develop material related to the Graduate Program for the Department newsletter
  • Work in cooperation with the graduate students running the graduate student blog to ensure consistency across social media platforms; update Graduate History program website regularly.
  • Certify graduate students for graduation.

Graduate Liaison

  • Perform duties in liaising with UNIT , CLAS Graduate Studies, the registrar, and other departments within the university that interact with the graduate program.

Administrative Support For Chairperson And Department

  • Coordinate with the chairperson to ensure the efficient management of the History department, including the maintenance and monitoring of the chairperson’s calendar.
  • Update the department calendar and send bi-weekly reminders of events to the department faculty.
  • Take the lead role in developing and disseminating the department newsletter.
  • Take the lead role in developing the department’s social media presence.
  • Provide lead administrative support for faculty searches.
  • Provide support for student field trips. 7) Organize travel and accommodations for department’s guests.
  • Reserve rooms for meetings and social functions.
  • Assistant department faculty as needed.

Alumni Liaison

  • Maintain active contact with alumni of both the undergraduate and graduate program.
  • Develop and maintain a database of alumni willing to serve as mentors or networking faciitators to current students.
  • Develop, generate, and disseminate annual alumni newsletter.
  • Track alumni career trajectories and facilitate professional contact between alumni and current students.
  • Serve as IT contact for department, troubleshooting problems through coordination with CLAS IT and UNIT

Minimum Qualifications

Formal Education

  • High School Diploma required, college degree strongly preferred.

Minimum Work Experience

  • 3-5 years’ experience in similar role.
  • Strong computer skills, including proficient knowledge of Microsoft Office Suite (Word, Excel, Power Point, Publisher, Outlook, Access).
  • Excellent oral and written communication skills.
  • Strong organization skills.
  • Ability to balance multiple tasks.
  • Professional demeanor in interaction with faculty, staff, students, and other university departments.

Preferred Qualifications

College degree. Familiarity with Banner/ SCT system. Knowledge of an academic setting. Some experience in customer service. Familiarity with social media.
