Position Description
The Program Coordinator, Student & Campus Life provides administrative, operational, and programmatic support for the students, staff, faculty, and visitors at the Cornish College of the Arts at Seattle University. The position reports to the Director of Student Engagement & Support at the CCA South Lake Union Campus. The position is full-time, 12 months, and fully on-site. The Program Coordinator will occasionally be expected to work on the Capitol Hill campus for meetings, trainings, in services, and other major Student & Campus Life and university events.
Essential Job Functions
Administrative Coordination (40%)
- Provide general administrative assistance, including scheduling meetings, maintaining records, and handling correspondence.
- Serve as the first point of contact for inquiries, directing students, faculty, and visitors as needed.
- Provide multi-faceted programmatic and operational support, room reservations, mailbox key assignments, lost mail key charges for residential students, and creating materials for essential department projects as requested.
- Manage office supplies, process invoices, and assist with budget tracking.
- Prepare reports, presentations, and documentation as requested.
- Manage and coordinate the calendar of the Director, including on- and off-campus appointments and travel arrangements if needed. Coordinate with main campus administrative coordinators to schedule meetings, programs, and events.
- Develop and maintain systems and procedures to ensure that all administrative records are maintained accurately and confidentially in various systems, such as Slate for Student Success and Maxient. Maintain confidentiality as required by university policy.
- Provide limited budget support such as supply purchasing and Procard reconciliation.
- Serve as an on-site building safety marshal in the event of an emergency.
Program & Event Coordination (20%)
- Assist in the coordination of programs, meetings, and events, as directed supervisor. Provide logistical support for events coordinated by Student & Campus Life and maintain availability for occasional early morning or late afternoon meetings and events. Manage student events platform and assist with assessment.
- Assist in the planning, implementation, and evaluation of department programs, workshops, and events. Coordinate logistics, including venue reservations, catering, and technology setup.
- Maintain program schedules, track participation, and collect feedback for continuous improvement.
Student & Stakeholder Engagement (30%)
- Serve as front-line support and knowledgeable resource for all students, faculty, and guests, maintaining an open-door policy and welcoming environment. Answer incoming calls, e-mail messages and questions from students and public.
- Hire, train, and supervise part-time student employees and student leaders. Ensure accurate timekeeping, and approve timesheets.
- Support communication and outreach efforts to promote programs and services. Write and distribute internal communications, create program marketing materials, write content for newsletters for various programs, and monitor compliance with university posting policy. Manage various social media accounts, create and manage content and engagements.
- Respond to student inquiries and provide guidance on available resources.
- Facilitate connections between students, faculty, staff, and external partners.
Marginal Duties (10%)
- Attend trainings, in-services, programs, and events on-site on the Capitol Hill and South Lake Union campuses as directed.
- Other duties as assigned.
Qualifications
- B.A. plus two or more years of progressively responsible administrative office support experience OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Knowledge of procedures such as purchasing, budgeting and record keeping, event management, the ability to prepare, edit and produce grammatically correct reports and correspondence and the ability to orally communicate effectively with others on the telephone and in person.
- Excellent customer service skills, the ability to organize and prioritize and to perform multiple tasks concurrently.
- Proficiency with Microsoft Office products.

Compensation At a Glance
Salary Range: $27 - $29 per hour
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
