This position is responsible for the day-to-day management of the Bea Lab training grants program in the department of Health Promotion Sciences, with an emphasis on the STEP-UP and NACP Summer Research Programs. The incumbent will be responsible for operational support for the full scope of program activities, including recruitment, enrollment, curriculum development and implementation, reporting, and budget oversight. Additionally, the person in this position will provide administrative support for Dr. Bea and other program leadership for tasks such as travel, purchasing, and scheduling. This position is funded via federal grants from the National Cancer Institute. Duties & Responsibilities Student Services and Curriculum Coordination * Oversee the application process using online tools. Assist students and other participants with questions and support, compile all application packets for review with faculty committee. * Schedule interviews and other pre-program screening as needed for placement. * Support students with completion of paperwork for internship or other academic programs, as required by their home programs. * Coordinate with the UA Responsible Conduct of Research and various compliance offices to manage RCR training and certification for trainees. * Revise program curriculum and schedule activities with facilitators based on grant requirements and feedback from the advisory committees. Administrative Coordination * Purchase materials and supplies for training grants programs. Manage documentation process in coordination with the Health Promotion Sciences and UACC business offices. * Coordinate travel for trainees and staff to program site (as needed) and to professional conferences. * Collaborate with other university offices, such as FSO, HR and accounting for onboarding and hiring of trainees in advance of the summer program * Assign trainees to mentor placements based on availability and trainee interests. Assist with schedule management and time sheet approval. * Track expenditures and budget categories to ensure adequate funding for program activities through the year. Event Planning and Implementation * Schedule workshops during academic year and summer program as outlined in curriculum. * Request conference rooms and other meeting spaces for in person activities as needed using appropriate university scheduling. * Plan and coordinate biannual advisory committee meetings. Prepare meeting materials such as agendas, presentation slides, and compiled meeting notes. * Purchase refreshments and supplies as needed for meetings, monitor costs and UA policies for tracking and compliance purposes. Program Evaluation and Reporting * Coordinate with the Behavioral Measurement and Intervention Shared Resource (BMISR) and NACP Evaluation Team to distribute surveys to trainees and mentors for STEP-UP program evaluation. * Collaborate with BMISR and Evaluation Leads to share data with associated parties (funders, advisory committees, etc.) as needed. * Complete annual Progress Reports for NCI in eRA Commons with support from other offices (Sponsored Projects Services, UAHS Grants, HPS business office, etc.), including assisting the annual budget review and revision for each program. General Support and Other Duties as Assigned * Manage annual calendar and timeline of activities for team * Assist with general meeting coordination * Coordination of travel and purchasing for Bea Lab team * Other duties as assigned Knowledge, Skills, & Abilities: * Ability to communicate effectively with participants, faculty, and staff. * Reliable and punctual. * Strong organizational skills. * Ability to implement existing STEP-UP and NACP curriculum lessons and provide guidance to students regarding assignments and scheduling. Minimum Qualifications * Bachelor's degree or equivalent advanced learning attained through experience required.
