Position Overview
This is an entry-level role focused on assisting with the closeout of speaker bureau programs. This role involves several important steps to ensure the completion of tasks, accurate record-keeping, and compliance with Sunshine Act Reporting. The coordinator will work closely with healthcare professionals (HCPs), pharmaceutical representatives, and venues to ensure all program details are managed effectively.
Key Responsibilities
- Register Healthcare Professionals (HCPs) to speaker bureau programs.
- Reach out to venues for availability of private rooms for events.
- Ship program materials as needed.
- Confirm that the Post Program Offering (PPO) portion of the closeout is completed by the pharmaceutical representative, ensuring all necessary post-program activities are accounted for.
- Upload the sign-in sheet and receipts from the program into the system to document attendance and financial transactions related to the event.
- Verify all attendees in the system to ensure the database is up to date with accurate attendee information for reporting purposes.
- Add HCPs to the Universe if they do not have a Customer Master ID (CMID), ensuring all relevant individuals are included in the database for future reference.
- Follow up with pharmaceutical representatives on outstanding items such as PPO, sign-in sheet, receipts, or attendee clarification questions, resolving any pending issues and ensuring all required documentation is in place.
- Handle any closeout discrepancies with vendors, pharma representatives, or venues, addressing any discrepancies or inconsistencies in the closeout process promptly and effectively
Required Qualifications
- High school diploma or equivalent.
- Previous experience in administrative support or a similar role.
- Basic understanding of event coordination or logistics.
Preferred Qualifications
- Associate's degree or higher in Business Administration, Communications, or a related field.
- Experience working in the pharmaceutical or healthcare industry.
- Familiarity with the Sunshine Act and its reporting requirements.
- Certification in Event Planning or Project Management (e.g., CMP, PMP).

- Event Coordination: Experience in coordinating events, including venue booking and material shipment.
- Knowledge of Pharmaceutical Industry: Understanding of industry-specific regulations and compliance requirements.
- Problem-Solving Abilities: Strong skills in resolving issues and ensuring smooth program closeout.
- Customer Service Orientation: Positive attitude and approach to handling inquiries and resolving issues.
- Adaptability: Ability to adapt to changing priorities and work efficiently in a dynamic environment.
Job Type: Full-time
Pay: $18.00 - $25.00 per hour
