The Program Associate provides a variety of routine clerical functions within a behavioral health office setting. Works in a fast-paced environment that requires multitasking, excellent customer service & interpersonal skills to greet clients & visitors promptly and courteously. Work duties also include but are not limited to answering phones, scheduling appointments, verifying insurance, collecting copays, data entry, scanning/downloading info into EHR, and handling client questions and concerns.
Job Responsibilities And Performance Standards

Work duties also include:
Answering phones.
Data entry.
Scheduling appointments as needed.
Verifying insurance and collecting copays as needed.
Updating CSU and TOU census as needed 24/7.
Completing Program Transfers as needed and ensure that the clients have the correct date on the BHL board as well as in myAvatar.
Updating client information in myAvatar as needed 24/7.
Preparing Hardbound Charts for CSU and TOU clients upon admission as well as the breakdown of hardbound charts at client’s discharge and placing them in paper folders for storage in the chart room.
Scanning/downloading information into the EHR.
Assisting with CWI intake and POE for clients as needed.
Actively reviewing and working on BHL Board referrals and assisting with requesting additional documentation via phone call or email.
Facilitating calls and/or emails to referral sources and other external stakeholders.
Maintaining the organization and cleanliness of the chart room as well as preparing the yearly sending out of charts to the Medical Records Warehouse.
Handling client questions and concerns.
Attend agency meetings and completes required trainings.
Other duties as assigned.
Minimum Qualifications
High school diploma or GED and 1yr of general office or administrative experience
Preferred Qualifications
Minimum 1 year experience working in a medical/behavioral health setting
Outgoing, engaging and personable communication skills
Experience working in a medical or behavioral health office
Excellent computer skills including familiarity with Microsoft Word, Excel
Highly organized and detail oriented
