Summary

Job Overview

Performs administrative and support work. This role encompasses a variety of tasks including communication with clients, colleagues and community partners, utilizing Microsoft office products, maintaining records and reports, and data entry including into PeerPlace and EXCEL spreadsheets. Does related work as required.

Supervision

Performs work under the direct supervision of the Chief Program Officer (CPO)

Duties/Responsibilities

  • Works with CPO on administrative duties, coordinating meetings, and follow up with Community partners and staff as needed.
  • Uses Microsoft Suite to file and maintain materials and documents.
  • Enters data and uploads needed documentation to PeerPlace and verifies accuracy of data.
  • Maintains an accurate resource database in the organization’s intranet. Assists the Care Coordination Manager and other managers as directed by the CPO with administrative tasks.
  • Communicates verbally, uses emails and through PeerPlace with community partners and internal programs to ensure timely communication of needed requests, reports, etc.
  • Assist with compiling and maintaining a vendor list, resource list and all the necessary documentation for the Care Coordination program.
  • Collects and verifies information from a variety of sources, compiles data for reports and responds to requests for information using Excel, Forms Word and other Microsoft products.
  • Participates in advocacy efforts to support and address the diverse needs of the communities we serve.
  • Supports opportunities for community volunteers to engage with relevant aspects of their department or program, with support from Volunteer Services Staff.
  • Participates in Team meetings and does follow-up to those meetings as needed.
  • Performs other related work as needed.

Knowledge, Skills, And Abilities

  • Knowledge of Microsoft office products
  • Strong writing skills
  • Ability to establish and maintain effective working relationships with staff, clients and the public.
  • Strong customer service skills.
  • Ability to work independently
  • Ability to communicate effectively orally and in writing.

Education And Experience

Any combination of education and experience equivalent to graduation from high school and/or business school. College level courses in business, communications, social sciences or related fields recommended. At least 3 years of progressive experience in administrative assistance work is preferred.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
