Compensation Range: $19/hr - $21/hr commensurate with experience.
Overview
The Program Assistant is responsible for various clerical and administrative tasks. Responsibilities include completing census reports, completing and tracking internal work orders, generating reports, processing invoices, creating payment requests, and handling W9 forms to request new vendor codes. The Program Assistant ensures that medical, social, personal, and financial information relating to each client is kept confidential and made available only to authorized people.
Primary
Responsibilities:
- Take minutes during daily Huddles and disseminate to the hotel staff.
Secondary
- Process invoices for the program.
Other functions that may be required with this position include:
- Develop and maintain an effective inventory of office and residential furnishings, office supplies, client supplies, and program equipment, and submit purchase requests, as needed.
- Ensure that Human Resources Department notices and documents are properly posted at the hotel.
- Ensure that all required notices and documents required by the NYC Department of Buildings, Housing Preservation and Development, Division of Housing and Community Renewal, and other city agencies are properly posted in the hotels.
- Write and distribute memos and flyers to hotel program clients.
- Organize meetings and take detailed minutes.
- Write and distribute emails, memos, letters, faxes and forms.
- The Program Assistant performs other administrative tasks assigned.
- Enthusiastically participate in advocacy and direct actions to end the twin crises of homelessness and HIV/AIDS.
Key Performance Indicators
- Track the percentage of projects completed successfully and on time.
- Evaluate the effectiveness and clarity of communication with clients, vendors, and team members. Measure the ability to maintain organized records and manage work orders efficiently.
