The Program Assistant provides vital support to the program's operations. Their core responsibilities include answering phones, scheduling appointments, engaging with the community, managing reception duties for the office, ordering supplies, taking notes during meetings, and handling email correspondence. Qualifications

  • High school diploma or GED required. Course work in business skills preferred.
  • One year of training and/or experience in an office setting preferred.
  • Proficient in Microsoft Office Suite, Outlook, Excel, Word.
  • Attention to detail, accuracy, and timeliness are required.
  • Strong organizational skills and detail oriented.
  • Bilingual Spanish preferred.
  • A valid California driver’s license is required of staff who have regular driving duties and the driving record must meet the requirements of their position and be approved by the agency’s insurance company.

Essential Job Functions

  • Must be able to interact with clients, employees, and the public in a pleasant, positive and professional manner.
  • Ability to communicate ideas in oral and written form.

  • Ability to work in a harmonious manner with subordinates, supervisors, and others.
  • Ability to operate a multi-line telephone and voice over internet protocol (VoIP).
  • Ability to manage multiple tasks, follow up on work in various stages of completion and meet deadlines.
  • Ability to work with cultural/ethnic diversity.
  • Operate a vehicle for company-related activities as needed, including mail drop off, attend offsite meetings, and transport to and from other agency locations.
  • Physical, mental and emotional health adequate to perform duties.

Responsibilities

  • Adhere to all legal and ethical standards including but not limited to maintaining confidentiality of agency business.
  • Greet clients and answer telephones in a polite, professional and pleasant manner.
  • Schedule appointments as required based on program needs.
  • Prepare routine correspondence, type letters, reports, data entry tasks, meeting notes and other documents as requested.
  • Create and maintain client files as needed.
  • Basic knowledge of all agency programs.
  • Orders office supplies and handles maintenance requests for the office.
  • Responsible for preventing and controlling infection.
  • Responsible for maintaining a culture of quality and safety.
  • Effectively use de-escalation skills and techniques for crisis prevention.
  • Properly administer the C-SSRS to help prevent suicide.

Other

  • Attend all required meetings and trainings.
  • Report any suspected child or dependent adult/elder abuse or neglect immediately to direct supervisor or utilize the chain of command if supervisor is unavailable.
  • Report any client imminent danger to self or to others or gravely disabled immediately to direct supervisor or utilize the chain of command if supervisor is unavailable.
  • Other duties as assigned.
