About the Program Assistant Position: The Program Assistant provides vital administrative, logistical, and project support to the Latino Community Foundation of Colorado’s (LCFC) Program Team across multiple signature programs and special projects, including grantmaking, capacity-building, and leadership development initiatives.
This position reports to the Senior Vice President of Community Innovation & Strategic Partnerships and works closely with all members of the programmatic team, supporting the seamless coordination of internal systems, external communications, and time-sensitive activities such as convenings, events, and meetings. The ideal candidate will have strong administrative and organizational skills, thrive in a fast-paced and evolving environment, and communicate clearly with colleagues at all levels. They are detail-oriented, tech-savvy, resourceful, and excel at managing multiple priorities with professionalism and care.
DUTIES AND RESPONSIBILITIES:
- Maintain and update the Program Department and Team’s annual calendar, including programmatic events, convenings, and internal/external meetings.
- Support the coordination and execution of programmatic events, convenings, and general meetings—including scheduling, location and venue arrangements, food and beverage coordination, attendance tracking, communications, and technology or AV needs.
- Conduct research and outreach for vendors, contractors, and consultants—including initiating contact, collecting proposals, scheduling interviews, and coordinating the hiring process.
- Maintain and organize digital files related to LCFC's Programs and Special Projects.
- Assist with drafting, formatting, and proofreading program documents, meeting agendas, presentations, and reports for internal and external use.
- Maintain and regularly update contact lists, partner databases, and stakeholder records to ensure accuracy and consistency across systems.
- Support grantmaking processes by preparing and reviewing materials, assisting with agreements and disbursements, maintaining accurate grant data, tracking grantee information, and supporting internal and external reporting requirements.
- Oversee LCFC’s grant calendar(s), including key dates such as application openings/closings, funding disbursements, and reporting deadlines.
- Provide general administrative and logistical support for programmatic work that drives LCFC’s mission and programs forward.
- Provide calendar and scheduling support to program leadership or team members, including coordinating one-on-one and group meetings with external partners.
- Support internal and external meetings by preparing materials, managing Zoom/AV tools, taking notes, and tracking follow-up actions or next steps.
- Assist with processing invoices, reimbursements, and expense reports related to program activities and events.
- Create and manage simple forms (e.g., surveys, RSVPs, grant intake forms) and compile data for reporting or program planning.
- Manage program-related supplies and materials inventory, and coordinate with vendors for ordering or replenishment as needed.
- Attend and actively participate in LCFC staff meetings, retreats, and trainings as needed.
- Perform other administrative duties as assigned.
DESIRED KNOWLEDGE, SKILLS, AND ABILITIES
Qualifications:
- Minimum of 2 years of relevant work experience in an administrative support role.
- Demonstrated commitment to the mission and values of the Latino Community Foundation of Colorado (LCFC).
- Strong interest in working alongside diverse communities and leaders to advance equity-focused programs and initiatives.
- Exceptional organizational skills and a systematic approach to managing tasks, documents, and workflows.
- Ability to manage multiple projects simultaneously, prioritize effectively, and remain flexible and responsive to shifting priorities.
- Resourceful and tech-savvy, with proficiency in Google Workspace, Microsoft Office (Word, Excel, Teams), and other digital tools such as Zoom and webinar platforms.
- Quick learner with a strong aptitude for adopting new or specialized software programs and troubleshooting tech-related issues.
- Creative problem-solver with a can-do attitude, strong work ethic, and ability to work efficiently across multiple programs.
- Clear, direct communicator with strong interpersonal skills and experience collaborating across teams.
- Positive attitude, adaptability, and a good sense of humor.
- Bilingual and/or bicultural experience is a plus.
Education/Experience: Prior experience in Administrative Support or events (in an organization or through lived experience); BA/BS a plus.
POSITION STATUS, SCHEDULE, SALARY & BENEFITS
Position Status: This is a Full-time, at-will, exempt position.
Schedule: Flexible hybrid work approach. Some evenings and weekends will be required.
Compensation: Starting hourly range is $24.00 – $26.44, depending on experience and relevant skills.
Schedule: Typical work schedule Monday, Tuesday and Thursday 8:30 am to 5:00 pm; some evenings and weekends will be required; flexible hybrid work approach (3 days in the office weekly).
