William Paterson University employs approximately 1000 full time employees in the state who work in a variety of positions ranging from professors to administrative assistants and administrators, physical plant operations, campus police, athletics coaches, academic advisors, and more. This position provides comprehensive administrative support for the Marketing and Public Relations Department, ensuring the efficient operation of the department by streamlining workflows and enhancing overall efficiency. Serving as an office manager, the Program Assistant proactively oversees day-to-day administrative matters, manages departmental budgets, coordinates marketing initiatives, and facilitates digital and traditional communications.
Principal Responsibilities:
* Manages budget reconciliation, prepares requisitions, processes invoices, and maintains budget tracking systems, ensuring compliance with university policies.
* Manages daily administrative functions, including but not limited to procurement, inventory, and digital/hard copy filing. Reconciles shipments in compliance with purchasing policies and maintains records for financial and operational audits.
* Prepares clear, technically sound, accurate, and informative reports containing findings, conclusions, and recommendations.
* Provides administrative support for the University Emergency Communications Plan. Updates documents, maintains distribution lists, and assists in meetings and training coordination.
* Compiles and shares promotional content with digital news sites enhancing the visibility for university arts and entertainment programs and faculty, staff and student achievements.
* Updates University event calendars and webpages with relevant campus events and other information as needed. Monitors event submissions for accuracy and consistency across platforms.
* Coordinates digital photo archiving and digitization efforts. Develops and maintains a searchable database of visual assets to support marketing initiatives.
* Coordinates freelance photography assignments, scheduling photographers and managing assignment details. Ensures photo usage aligns with university branding and promotional objectives.
* Manages divisional calendar and meeting logistics, including room reservations and virtual meeting scheduling through Teams or Zoom. Coordinates travel arrangements, prepares itineraries, and ensures necessary materials are available for meetings.
* Maintains and updates department web content, ensuring information is current, relevant, and aligned with university messaging standards.
* Performs other duties as assigned that are appropriate for the position.
Requirements:
* Minimum of four (4) years of experience providing administrative support, preferably in higher education or bachelor's degree from an accredited college or university. (Substitution permitted on a year-for-year basis in lieu of degree.)
* Excellent communication, customer service, organizational, and interpersonal skills.
* Experience working in complex environments with multiple constituencies.
* Proficiency in MS Office Suite, including PowerPoint, Excel, and Word.
* Ability to extract data, perform analysis, and create reports.
* Strong time management, problem-solving skills, and attention to detail.

CWA Salary Range 16 - $49,738.97 - $69,977.51
