Job Description Reports To: Chief Program Officer & AmeriCorps Program Coordinator FLSA Status: Exempt Job Summary: The AmeriCorps & Programs Operations Assistant provides critical support to the Programs Department by handling administrative tasks and the AmeriCorps program by assisting in the coordination of AmeriCorps program activities. This dual-role position plays a key role in ensuring smooth daily operations, helping the department and AmeriCorps meet its goals, and assisting with the effective implementation of AmeriCorps programming. Core Functions Supported: -Administrative Assistant: Department Management Support Document & Records Management -Event & Training Support: Data Collection and Evaluation Assistance -Meeting Coordination & Minute-Taking AmeriCorps Assistant -Member Communication & Support Timekeeping & Compliance Management -Event & Activity Coordination AmeriCorps Member Development Support -Recruitment & Onboarding Support Task, Duties and Responsibilities Administrative Assistant (Programs Department) – 50% Provide general administrative support to the Programs Department, including answering phones, responding to emails, and managing office correspondence. Maintain departmental records and filing systems, both electronic and paper. Schedule meetings, prepare agendas, and record meeting minutes as needed. Assist with program documentation, report compilation, and data entry. Support the coordination and logistics for department events, trainings, and workshops. Manage inventory and ordering of office supplies. Assist with preparing reports, presentations, and other materials for the Programs Department. AmeriCorps Program Assistant – 50% Provide support to the AmeriCorps program staff in the recruitment, onboarding, and training of AmeriCorps members. Assist with the coordination of AmeriCorps member activities, including service projects, training events, and community engagement initiatives. Track AmeriCorps member attendance, timesheets, and service hours, ensuring compliance with program regulations. Help with communications to AmeriCorps members, including newsletters, updates, and program reminders. Maintain organized and up-to-date records related to AmeriCorps member service, evaluations, and reporting requirements. Provide logistical support for AmeriCorps training sessions, team-building activities, and recognition events. Assist in tracking the impact of AmeriCorps programs through data collection and reporting ( Other 5%) Work in committees internal and external to CIS of Georgia and attend committee functions as appropriate Participate and attend all staff wide events and meetings as required Compile necessary information to highlight program progress, collect and process required reports, documents and data Perform other duties as assigned Position Requirements Bachelor’s degree in business or the social sciences preferred 1-2 years of experience in an administrative support role, preferably in a nonprofit or education setting. Familiarity with AmeriCorps programs and an understanding of service-based programming is a plus. Strong organizational and time management skills with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Excellent written and verbal communication skills. Ability to work both independently and as part of a team in a fast-paced environment. Strong interpersonal skills and the ability to build positive relationships with staff, AmeriCorps members, and community partners. Flexibility in scheduling, as some meetings or events may occur outside of regular work hours. Ability to approach a problem or challenge in a proactive, collaborative, and proactive manner Intermediate ability to operate word processing, spreadsheet, presentation, and internet software.
