Program Administrative Coordinator for provincial government agency client, downtown Toronto.


Marberg Job Number: 2552.

Job Type: Temporary.

Initial Term: From April 25, 2025 to October 21, 2025.

Compensation: $26.92 per hour.

Regular Work Hours: 7.25 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (36.25 work hours per week).

Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's downtown Toronto office, on PATH and near Union and GO Stations. Onsite work expectations subject always to client business requirements, and may change according to client business need.


Responsibilities Summary:

Provide administrative coordination services to Organizational Development and Learning program team, including program tracking and communications tasks, special events coordination, budget and invoice management, expense claims processing, and additional coordinative and logistical support to continuous improvement program initiatives.

  • Administer response to continuing education learning requests, including tracking requests, communicating with participants, and reviewing, validating and processing various program administration forms
  • Track budgets and training allocations, and ensure timely payment of invoices.
  • Maintain and update internal website pages, adding, embedding and proofreading Organizational Development and Learning program content to ensure information displayed on website is accurate and current.
  • Work with all levels of staff to gather supporting information for program evaluations. Create and distribute post program and event surveys and evaluations, and compile relevant program data and trends to provide summary analysis and results for decision making by senior colleagues.
  • Prepare program materials, presentations, and guides using MSOffice Suite.
  • Additional program coordination and support responsibilities as required.


Qualifications:

Education: Post Secondary Degree or Diploma in Business Administration, or equivalent combination of education and work experience.

Preferred Work Experience: At least 2+ years of progressive experience in business or program administration.

Preferred Sector Experience: Experience in education and training sector preferred. Understanding of organizational development and learning programs, best practices and trends is an asset.


Technical and Language Skills Requirements:

  • Advanced proficiency in MSOffice including Word, Excel, Outlook, PowerPoint (will be tested).
  • Strong typing and data entry skills (will be tested).
  • Superior attention to detail (will be tested).
  • Advanced English communication skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.

  • Presentation and communication skills to gather, compile, review and summarize relevant findings on organizational development.
  • Organizational skills to coordinate administrative functions in support of program delivery.
  • Strong financial acumen and financial administration skills.
  • Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.
  • Strong relationship management skills. Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders.


Additional Requirements:

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment / position responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
