ANNUAL SALARY (DEPENDING ON SKILLS/EXPERIENCE): $81,120.00 - 98,155.20

SCOPE: Under the direction of the Chief Operating Officer, the Practice Manager is responsible for the day-to-day management and oversight of one or more Epic Care clinics and serves as the local business manager and liaison to the site physicians. This role will work effectively with all staff, peers and management to execute the actions necessary to achieve experiential excellence for patients, staff and physicians. This role will ensure that all areas of responsibility are handled timely, efficiently and effectively with the appropriate use of technology, systems, tools and lean resources to secure financial success in the private practice environment.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Works with Site Physician to plan, organize and manage the day-to-day operations and activities of one or more clinic locations, ensuring experiential excellence for physicians, staff and patients.
  • Provides management expertise to ensure that all patients receive high quality efficient care.
  • Responsible for the day to day activities related to access, efficiency, productivity, service experience, provider communication and quality in partnership with the Site Physician.
  • Monitors expenditures and service revenues; assists in maintaining budgetary control and meeting budgeted productivity targets; develops data collection systems and prepares regular statistical and progress reports.
  • Manages the flow of the clinic to ensure compliance, efficiency and patient satisfaction.
  • Makes regular rounds to units to evaluate status of patient care, operation and environment of the units and staff needs; evaluates progress of assigned areas and plans, implements and evaluates programs to meet current and anticipated needs.
  • Manages revenue cycle components related to clinic operations to include charge reconciliation for providers and facility to meet budget targets; presents monthly revenue reports to key staff.
  • Addresses issues raised by providers, staff, patients and other internal/external customers using LEAN and performance improvement principles; builds a culture of trust and collective problem-solving.
  • Gathers and analyzes information to determine new and ongoing resource needs; determines objectives and formulates procedures and protocols; monitors progress toward objectives; participates in the development and implementation of policies, and priorities; monitors availability and use of reference manual content.
  • Directs, supervises and coaches staff daily; ensures that all staff are operating to the top of their license and providing high-value care to patients; develops, implements and audits standard work throughout all units.
  • Regularly evaluates staff performance and maintains a culture of accountability; addresses any performance issues as needed.
  • Meets with the Physician Site Lead to review clinic performance and develop action plans to improve performance.
  • Promotes patient and staff satisfaction; regularly evaluates satisfaction survey results and addresses areas of improvement.
  • Responsible for hiring, ensuring adequate metric-based staffing and ongoing timely performance evaluations and employees’ professional growth; ensures that staff understand roles and responsibilities and maintain high performance standards.
  • Maintains strictest confidentiality.
  • Manages time and energies in an efficient, effective manner.
  • Sets priorities in front of multiple requests.
  • Conducts behavior as exemplar of ethical, professional, and legally appropriate on behalf of the entire group.
  • Meets regularly with physician site lead and other lead team members to communicate, collaborate and troubleshoot issues or to provide valuable feedback.
  • Performs other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a Business or Healthcare related field preferred
  • High school diploma or equivalent required
  • Associates degree in office administration or related field required
  • 3 - 5 years of supervisory experience in a medical practice environment, hospital or healthcare program required
