The Physician Office Coordinator for the Michigan Heart Ann Arbor Office supervises the activities in the central reception and the non-invasive testing call center which supports both the clinic and testing services that are provided directly to patients. Services include, but not limited to, oversight of the check-in/check-out process for patients, appointment scheduling, demographic data entry, staffing and schedules, as well as auditing of co-pays and other payments received. Providing these services in a way that is sensitive to customer service is an important aspect of this position.
Essential Functions And Responsibilities
- Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution.
- Maintains the confidentiality of information acquired pertaining to patient, physicians, employees, and visitors to Saint Joseph Mercy Health System. Discusses patient and hospital information only among appropriate personnel in appropriately private places.
- Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.
- Behaves in accordance with the Mission, Vision and Values of Saint Joseph Mercy Health System.
- Manages day-to-day operations of the front desk reception and non-invasive cardiac testing call center staff.
- Ensures that data entry and the patient check-in and check out process are completed in an efficient and accurate manner with a focus on customer service.
- Manages patient concerns and complaints with a focus on problem resolution.
- Interviews, hires and orientates staff in conjunction with clinic Operations Manager
- Evaluates employee performance, coaches and trains staff as needed, and performs discipline up to and including termination in conjunction with clinic Operations Manager
- Develops and implements procedural policies for assigned staff.
- Assures daily staffing and scheduling, coordinated staff vacations. Manages overall job interactions and work flow.
- Oversees opening and closing of the office and delegation of work duties.
- Works with staff to identify and resolve workflow problems.
- Assures complete and accurate time sheets are submitted in a timely manner for all staff reporting to this position.
- Audits staff data entry and provide feedback.
- Responsible for accurate receipt summaries, bank deposits and financial reporting on a daily basis.
- Conducts staff meetings to insure proper communication of insurance, computer and system updates.
- Implements policies and procedures and ensures compliance
- Responsible for updating and maintaining the Daily Census for the hospital.
Required Education, Experience And Certification/Licensure
Education: High school diploma or equivalent
Experience: Prior experience in a health care organization with prior management experience preferred.
Required Skills And Abilities
- Ability to plan daily work and assess priorities for staff.
- Possess independent decision making skills and able to interact with patients, staff and physicians. Ability to solve problems.
- Must be organized and detail oriented.
- Requires verbal communication and writing skills to effectively work with physicians, patients and staff
- Requires knowledge of computer software and practice management systems.
