Position Summary
As part of the People Systems & Effectiveness Team, the successful candidate will be responsible for providing support to our Human Resource Information System. In this role the incumbent will demonstrate strong professionalism and expertise in a variety of processes, with previous experience in Oracle HCM including CoreHR, recruitment, onboarding, compensation, benefits, talent, and payroll modules, HR reporting, and integrations. You will leverage your technical expertise and functional skills to manage the organization’s newly implemented Oracle HCM, UKG WFM Pro scheduling, and Andgo systems ensuring the system is running smoothly, and supporting the business in utilizing tools and functions effectively. You will have accountability for both technical and functional system support and will work closely with People Services, Information Services (IS), Payroll, and other business groups, leaders, and staff across the organization to resolve issues, plan for system upgrades, and support ongoing reconfigurations.
Job Description
Provide full support including but not limited to:
- System Issue Identification, Resolution and Support
- Responding to employee inquiries regarding the Oracle HCM, UKG WFM Pro and Andgo systems.
- Troubleshoot and resolve technical and functional issues or defects in the HRIS and scheduling systems on an ongoing basis, including issues directly related to technical objects, etc.
- Conduct root cause analysis to prevent recurring issues and recommend improvements.
- Providing superior customer service to all staff, leaders, and operational areas.
- System Patches and Upgrades
- Collaborate with internal teams and vendors to prepare for Oracle HCM system updates (inclusive of Redwood UI) and ensure smooth implementation including identification of major changes to workflows or system that will impact workflows.
- Analyze, test and validate new update releases, patches, configurations and/or fixes to ensure they meet business requirements and do not disrupt operations.
- After patch and update deployment, conduct testing in the production environment to verify that updates have been successfully applied, and no new issues have emerged.
- Facilitate technical testing to ensure back-end system set up, configuration, and functionality is as expected.
- Facilitate user acceptance testing (UAT) to ensure that business users (HR, payroll, timekeeping) can use the updated system as expected.
- In partnership with IS and vendor, track issues raised during UAT and ensure they are addressed technically and functionally before the upgrade goes live. This includes defects related to both new features and legacy processes that might have been impacted and/or data conversion.
- Document and communicate any changes resulting from updates or changes in system functionality and/or technical configuration.
- System Reconfiguration, Configuration and Testing
- Perform ongoing technical and functional reconfigurations as needed to resolve defects and ensure that the HRIS and scheduling systems support changing business processes and policies.
- Configure the HRIS and scheduling systems to meet the evolving needs of the organization, including new functionalities or process adjustments.
- Collaborate with HR and IS teams to understand business requirements and translate them into Oracle HCM and UKG Workforce Management and UKG Pro system configurations, including workflows, custom fields, approval processes, and user permissions.
- Maintain and manage user roles and access controls within Oracle HCM.
- Develop and maintain system setup documentation (e.g. workflows, configuration workbooks, SOPs).
- Develop detailed test scripts based on business requirements and system configurations to ensure accurate testing of system functionality, including technical elements.
- Perform comprehensive functional testing on newly configured or reconfigured features in both Oracle and UKG systems.
- Conduct technical testing, including technical elements, error validation, fast formulas, etc. in the Oracle HCM system.
- Conduct regression testing when updates, patches, or new versions of Oracle or UKG are applied, ensuring that new functionality does not break existing processes or features.
- System Maintenance
- Monitor Oracle HCM and UKG WFM Pro performance, identify potential bottlenecks, and work with IS to address performance issues related to technical configuration or functionality.
- Ensure data integrity within the system and suggest improvements for data accuracy.
- Work in partnership with IS and systems teams to troubleshoot and fix functional or technical issues.
- Reporting & Analysis
- Generate custom reports and analyzing data.
- Identify trends and insights to help drive business decisions.
- Training
- Identify changes that will require updates to training materials and documentation for system users.
- Update relevant training materials for end users and document changes to relevant workflows.
- Assist with support to subject matter experts and end-users to optimize system usage and prepare for system updates.
- Change Management
- Assist in the development and execution of change management strategies related to the Oracle HCM and UKG WFM Pro systems.
- Support the organization through system modifications and updates, communicating new features, updates, or processes effectively to end-users.
- Perform other related duties as required.
Qualifications
- Bachelor’s degree in Business Administration, Computer Science, Information Technology, or related field preferred or progressive experience in a related field.
- Certification in Oracle HCM Cloud and/or equivalent expertise in Oracle's cloud-based Human Capital Management (HCM) solutions, including configuration, customization, and integration required. This includes:
- Proficiency in Oracle HCM, including automating HR processes and managing data within the suite. Redwood experience an asset.
- Data Analysis and Reporting: Experience with Oracle's Business Intelligence tools to create reports and dashboards (OTBI). Experience with BI Publisher, etc. an asset.
- Integration Tools: Familiarity with tools like Oracle Integration Cloud for connecting various applications and automating workflows (HCM data loader, etc.)
- Strong skills in SQL for querying databases and PL/SQL for writing complex scripts and procedures; includes experience writing and analyzing fast formulas.
- Must have 3-5 years experience with hands-on functional and technical experience with system configuration, testing, and troubleshooting in complex systems (including documentation: data dictionary, training materials, workflows, etc).
- Experience with system integrations, data conversion and data migration an asset.
- Proficiency in creating detailed test plans, test cases (including edge and E2E scenarios), and reports.
- Strong analytical skills with the ability to troubleshoot both technical and functional system issues and identify root causes.
- Understanding of HR functions such as recruitment, payroll, performance management, and employee self-service
- Proven ability to work collaboratively in cross-functional teams.
- Ability to effectively and clearly communicate complex technical and/or functional information across teams with a varying level of technical understanding/experience.
- Highly effective organizational skills, combined with excellent judgement and the ability to prioritize and manage a high volume daily and weekly workload to meet required deadlines.
- Accuracy and attention to detail when performing a wide variety of tasks.
- Ability to handle requests in a professional, diplomatic and tactful manner.
- Self-directed individual who possesses initiative combined with the ability to work with minimal supervision.
- Strong interpersonal, communication and facilitating skills to be able to communicate with individuals on all levels of the organization and external vendors.
- Ability to work independently, as well as part of a dynamic team in an ever-changing, fast paced customer focused environment.
- Compliance and Regulations: Awareness of labor laws and regulations that impact HR processes and how to ensure compliance within both Oracle and UKG platforms
- Must have a positive work and attendance record.
Location:
We offer employees, in roles that are conducive to remote work, the flexibility and the right mix of remote and in-office work (approximately 80/20). Acknowledging that the primary works space will be remote work from home, but there will be times when onsite presence is appropriate just as there will be times when onsite presence may not be possible.
The expectation is that remote work locations, as part of the Flex First program, will be in the employee’s place of residence, and adhere to all THP policies and procedures, with special consideration towards privacy.
