Position Overview

We’re seeking an Operations Manager to streamline our clinic’s day-to-day, optimize processes, and empower our team to focus on patient care. You’ll work closely with the practice owner and leadership team to turn strategic goals into measurable results and ensure our operations run smoothly.


Key Responsibilities

  • Clinical Operations & Workflow: develop, document, and refine operational processes (patient check-in/out, billing, inventory); monitor KPIs (patient wait times, billing cycle, supply usage) and drive continuous improvement
  • Team Leadership & Development: supervise front-desk, billing, and administrative staff: hiring, training, performance reviews; lead weekly meetings and ensure To-Do’s and projects stay on track.
  • Vendor & Facility Management: manage relationships with vendors (medical supplies, IT, facility services); oversee office maintenance and equipment servicing schedules.
  • Financial Oversight: work with billing team to optimize cash flow, reduce denials, and maintain clean A/R; assist in budget planning, expense tracking, and monthly P&L reviews.
  • Compliance & Quality Assurance: ensure HIPAA, OSHA, and state regulatory compliance; coordinate audit prep, credentialing renewals, and policy updates.


Qualifications & Skills

  • 5+ years in medical practice operations, pediatrics preferred not required
  • Bachelor’s degree in Business, Healthcare Administration, or related field
  • Strong communicator & interpersonal skills
  • Data-driven mindset; proficiency or eagerness to learn EMR systems (e.g., Epic, Athena)
  • Exceptional organizational skills and attention to detail
  • Adaptable problem-solver who thrives in a fast-paced environment
  • Empathetic listener with a patient-first attitude
