Job Summary

We are looking to add an experienced and highly organized Payroll Specialist with benefit plan experience to our Human Resources team. In this role, you’ll handle all aspects of payroll processing, responsible for the accurate and timely processing of payroll for field and office employees within a construction environment. This role requires the collection and processing of payroll entries across multiple job sites, ensuring proper classification of prevailing wage, and maintaining compliance with federal, state, and local labor laws. The Payroll Specialist works closely with project managers, HR, and accounting to ensure accurate job costing, and certified payroll reporting. Strong attention to detail, confidentiality, and knowledge of construction payroll practices are essential.

You will also support benefit and general HR operations to ensure a seamless employee experience.

Additionally, this position requires an extremely perceptive person who can relate to individuals at all levels within the organization. The specialist must be sensitive to employee goodwill and business needs in alignment with our company values and culture..

Key Responsibilities

Payroll Processing (50%)

  • Process semi-monthly and weekly payroll for field and administrative employees, including manual entries and adjustments.
  • Prepare and submit certified payroll reports in compliance with Davis-Bacon and prevailing wage regulations.
  • Audit benefits-related payroll deductions and adjustments for accuracy.
  • Resolve employee payroll and deduction-related inquiries.
  • Maintain and update payroll records in compliance with applicable laws and internal policies.
  • Ensure proper pay classifications including multi-state payroll considerations.
  • Verify timekeeping records from job sites and address discrepancies with supervisors or project managers.
  • Maintain compliance with federal, state, and local payroll laws and regulations.
  • Process and remit payroll taxes; prepare and file quarterly and annual tax reports (e.g., 941, 940, state unemployment).
  • Manage garnishments, deductions, and benefit withholdings.
  • Prepare and distribute W-2s and assist with year-end reporting and audits.
  • Respond to employee inquiries regarding pay, deductions, and tax forms in a timely and professional manner.
  • Maintain confidentiality and ensure the security of payroll records.

Benefits Administration (25%)

  • Be well versed in all benefit offerings and capable of providing benefit plan support.
  • Assist in the administration of all employee benefits programs, including medical, dental, vision, life, disability, wellness, HSA, COBRA, and 401(k).
  • Assist with the open enrollment processes.
  • Ensure accurate and timely benefit enrollment, changes, and termination processing.

General HR Support (25%)

  • Support onboarding/offboarding processes.
  • Maintain accurate employee records in the payroll, HR and benefits systems.
  • Assist with leaves of absence, including FMLA and short-term disability, in coordination with HR.
  • Participate in HR initiatives projects, audits, and policy documentation as needed.

Qualifications

  • Associate’s degree in accounting, Business Administration, or related field; bachelor’s preferred.
  • 3+ years of payroll processing experience, preferably in the construction industry.
  • Knowledge of employee benefits regulations and best practices.
  • Experience with benefit plans and benefit administration systems.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills; able to explain complex benefits topics clearly.
  • Ability to handle sensitive information with discretion and professionalism is required.
