Summary

We are seeking a detail-oriented and results-driven Business Operations Manager to lead and optimize key operational functions within our technical staffing firm. This role focuses on ensuring the efficient management of payroll and time capture for consultants at client sites, as well as managing expense reports for our internal sales and recruiting teams. The successful candidate will demonstrate a proven ability to streamline processes, manage a lean team, and ensure strict compliance with operational guidelines in a complex, fast-paced environment.


Key Responsibilities:

  • Full-Cycle Payroll Administration: Oversee complete payroll processing for consultants working at client sites, ensuring timely and accurate payments in strict adherence to federal, state, and local regulations. This includes managing payroll across multiple states with unique regulatory requirements.
  • Compliance Management: Maintain rigorous adherence to all relevant payroll and employment regulations. Ensure that all processes and documentation comply with federal, state, and local guidelines, with special attention to the nuances specific to different states.
  • Time Capture and Reporting: Manage the weekly and accurate capture of time for consultants at client sites. Ensure data integrity and timely processing to support accurate payroll administration.
  • Expense Report Management: Oversee and manage expense reports for our internal sales and recruiting teams. Ensure that expense submissions are accurate, timely, and compliant with company policies.
  • Process Optimization: Identify inefficiencies within current operational processes and implement targeted improvements to enhance productivity and reduce costs.
  • Travel Management: Coordinate and manage travel arrangements for internal teams, ensuring efficient planning, cost management, and adherence to travel policies.
  • Data Analysis and Reporting: Conduct detailed analysis of payroll, time capture, and expense data to generate comprehensive reports. Utilize these insights to support strategic decision-making and continuous operational improvements.
  • Team Leadership: Lead a small, lean team—consisting of one direct report—while collaborating effectively with cross-functional teams. Provide guidance and training to ensure operational excellence in a complex environment.
  • Vendor Management: Maintain relationships with key vendors, negotiate contracts, and ensure the quality and timely delivery of services in accordance with budgetary guidelines. (Note: This is the least critical responsibility in this role.)


Qualifications:

  • 7+ years of experience in operations management within a technical staffing or consulting environment.
  • Proven track record in managing full-cycle payroll processing and navigating complex compliance requirements across multiple states.
  • Expertise in time capture and expense report management.
  • Proficiency in payroll systems (e.g., ADP, Workday, Paychex) and advanced skills in Microsoft Excel.
  • Strong analytical skills with the ability to translate data into actionable business insights.
  • Excellent travel management and process optimization skills.
  • Demonstrated ability to lead a lean team and collaborate effectively with cross-functional teams.
  • Exceptional problem-solving skills and the ability to thrive in a fast-paced, complex operational environment.
