Summary

We are seeking a hands-on Payroll Manager to oversee and execute the payroll operations for our high-volume, multi-state staffing organization. The Payroll Manager will lead a team of five, ensure timely and accurate payroll processing, and drive continuous improvement in payroll systems and processes. This is a key leadership position that requires deep functional knowledge, a strong customer service mindset, and the ability to thrive in a fast-paced, deadline-driven environment.


Key Responsibilities

  • Oversee end-to-end payroll processing for a high-volume, multi-state employee population (primarily W-2 contractors and corporate staff).
  • Supervise and develop a team of four Timekeepers and one Senior Payroll Coordinator.
  • Ensure compliance with all applicable federal, state, and local wage and hour laws.
  • Process payroll transactions when needed, including off-cycle checks, terminations, garnishments, and corrections.
  • Serve as the escalation point for payroll-related questions from employees and internal departments.
  • Partner with HR, Accounting, and IT teams to ensure payroll data integrity and accuracy.
  • Manage payroll tax reporting and year-end processes, including W-2s.
  • Identify and implement process improvements and system enhancements to drive accuracy and efficiency.
  • Support audits and regulatory reviews by providing documentation and responding to inquiries.
  • Maintain and update payroll documentation, including process guides and training materials.
  • Ensure proper setup and maintenance of employee and job data in payroll systems.


Qualifications

  • Minimum of 5 years of payroll experience in a high-volume environment.
  • Demonstrated leadership experience, including managing and developing direct reports.
  • Hands-on experience with payroll systems and timekeeping software (experience with Replicon and ADP preferred).
  • Strong understanding of federal and state payroll regulations, including wage and hour compliance.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
  • Strong interpersonal skills with a service-oriented mindset and a team-player attitude.
  • Ability to work collaboratively across departments and effectively communicate with employees at all levels.
  • Proven ability to identify and implement process and system improvements.
  • Staffing industry experience strongly preferred.
  • Bachelor’s degree preferred, but not required.
