Summary

Porter Hedges is seeking a detail-oriented Payroll Coordinator to join our team. This role is critical to supporting our firm's accounting and human resources operations. The Payroll Coordinator is responsible for maintaining accurate and up-to-date personnel data in the firm’s payroll system, processing both regular and special payrolls, and ensuring full compliance with applicable regulatory and organizational standards.


Success in this position requires a high level of accuracy, strong attention to detail, and the ability to handle sensitive information with discretion and confidentiality.


Key Responsibilities:

  • Assists the Payroll Manager in processing biweekly and special payroll runs for attorneys and professional staff members.
  • Maintains accurate payroll records and documentation in compliance with the firm's policies and procedures; coordinates with Human Resources to update individual status changes, including new hires and terminations, base pay adjustments, address changes, and updates to direct deposit account information, insurance coverage, or 401(k) contributions and loan amounts.
  • Manages updates and adjustments in the firm’s timeclock system for all non-exempt, hourly employees; determines personal and vacation time hours for non-exempt, hourly employees for entry into the firm’s payroll system.
  • Tracks personal and vacation time on a biweekly basis.
  • Enters expense reimbursements and personal charges into the firm’s payroll systems.
  • Helps reconcile the firm’s biweekly payroll, insurance, and 401(k) deductions.
  • Assists with year-end payroll reporting, including W-2s and other tax documents.
  • Performs routine audits to ensure accuracy between the firm’s payroll system, timeclock system, and benefits software.
  • Responds to payroll-related inquiries from partners and employees in a professional and timely manner.
  • Completes employment verifications.
  • Ensures compliance with federal, state, and local labor and tax laws.
  • Performs other duties as assigned.


Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Possesses at least two (2) years of experience in payroll processing, preferably within a professional services or law firm environment.
  • Strong knowledge of payroll principles, procedures, and regulations.
  • Experience with payroll software and related systems.
  • Proficiency in Microsoft Excel, Word, and Outlook required; experience with document management systems is preferred.
  • High level of accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to work in a fast-paced environment while exhibiting strong attention to detail under pressure of meeting deadlines.
  • Ability to handle confidential and sensitive information with discretion and maintain strict confidentiality.
  • Proven sound judgment and a high level of trustworthiness in managing sensitive matters and making informed decisions.
  • Professional presence, strong presentation, interpersonal, management, and problem-solving skills.
  • Exceptional client service (both internal and external).
  • Ability to work a minimum of 40 hours weekly and additional hours as needed.
