Description
Colleen McAuliffe is looking for an experienced Payroll Administrator to join our team in Santa Clara, California. This role involves managing payroll operations with precision, ensuring compliance with tax regulations, and maintaining accurate employee records. The ideal candidate will bring expertise in payroll systems, attention to detail, and a commitment to supporting employees across multiple states and locations.
Responsibilities
- Coordinate with internal teams to ensure smooth payroll processes, including verifying and correcting data for accuracy.
- Assist with onboarding new hires by reviewing documentation for completeness and compliance across multiple locations.
- Manage payroll tax submissions, ensuring timely and accurate reporting on a monthly basis.
- Utilize payroll systems to streamline operations, including testing and adopting new features for improved efficiency.
- Maintain up-to-date employee records, including tax information, banking details, pay rates, and address changes.
- Handle deductions for employee benefits programs, such as retirement plans and health insurance.
- Administer employee leave programs and ensure payroll accurately reflects approved absences.
- Prepare and submit quarterly and year-end reporting, including W-2s and 1099s.
- Conduct regular audits and reviews of payroll data to ensure consistency and compliance with regulations.
- Ensure adherence to federal, state, and local payroll laws, while implementing best practices for payroll management.
Requirements
- Demonstrated ability to manage payroll functions within a high-volume or project-based environment.
- Familiarity with union or certified payroll regulations and prevailing wage standards is a plus.
- Experienced in using payroll systems, particularly Foundation and/or field-tracking software like WorkMax.
- Strong command of Microsoft Office tools, particularly Excel, for payroll-related reporting and analysis.
- Detail-oriented with excellent organizational habits and a commitment to data accuracy.
- Strong communication abilities with a focus on confidentiality and professionalism in all interactions.
- Able to troubleshoot payroll issues and provide effective solutions independently or collaboratively.
Education And Background
- Minimum of five years’ experience handling payroll operations.
- At least two years of payroll experience within a construction, infrastructure, or project-based industry.
- An associate degree or higher in Accounting, Business Administration, or a related discipline is preferred.
