Membership and Visitor Services Coordinator

The Membership and Visitor Services Coordinator ensures seamless member outreach and exceptional front desk services. They are responsible for maintaining accurate CRM data, supporting member retention and recapture efforts, and assisting with mailings, communications, and member services. Reporting to the Membership Manager, the Coordinator works closely with colleagues in the Membership team to advance the Boston Athenaeum’s mission of fostering member engagement and institutional excellence.

This is a part-time position that includes Saturday.

Duties & Responsibilities

Member and Front Desk Services

  • Serves as the first point of contact for members, guests, and visitors during the evening and weekend hours, ensuring a welcoming and informed experience.
  • Collect admission and program fees, manage member and visitor check-ins, process gift shop transactions, and handle parking passes.
  • Inform prospective members about membership benefits and lead member recruitment tours as needed.
  • Liaise with Circulation staff at the front desk to provide support with checking in and out books to patrons when necessary.
  • Support and attend member-focused events as required.

Membership Processing and Retention

  • Processes new memberships and renewals, including notifying and assisting those with failed membership transactions.
  • Assist with lapsed member campaigns and recapture efforts to reduce churn.

Member Outreach and Communication

  • Provides member outreach and follow-up calls to maintain communication with members.
  • Works with Membership and Visitor Services Lead to handle lapsed membership renewal calls.
  • Assist with production of membership renewal acknowledgement letters (RENACK), new member packets (NMP), and renewal notices as needed.

Data Management and Reporting

  • Maintains all membership-related materials, files, and data on the drive.
  • Updates the CRM with returned mail information.

Qualifications & Requirements

  • Minimum of one year’s experience in a similar role with related duties
  • Ability to proactively assess needs, think critically, and offer flexible solutions while maintaining a positive, professional demeanor
  • Strong communication, organizational, and multitasking skills, with customer service experience preferred
  • Experience with CRM preferred
