Schedule: Part-time, year-round (25–28 hours/week, flexible schedule)
Compensation: $25.00–$30.00 per hour, commensurate with experience and qualifications
Position Summary
The Harker School is seeking a detail-oriented and proactive
Administrative Assistant to support the Human Resources department. This part-time role is essential in maintaining organized systems, supporting employee onboarding, and contributing to the smooth operation of day-to-day HR functions such as benefits tracking, training coordination, and file management.
The ideal candidate will be organized, tech-savvy, and possess a collaborative mindset that thrives in a dynamic school environment.
Key Responsibilities
Administrative & File Management
- Process weekly invoices and vendor payments
- Reserve space for training sessions and meetings
- Maintain and organize confidential digital employee files
- Archive outdated documents per retention guidelines
Onboarding & Employee Support
- Assist new employees with the HRIS system
- Process HR-related reimbursements
- Serve as a backup for fingerprinting support (livescan certification required)
Compliance & Training
- Coordinate and book training classes
- Monitor and support training compliance tracking
Benefits Administration
- Assist with benefit enrollments and open enrollment events
- Prepare and distribute benefit materials
- Reconcile monthly benefit invoices
General HR Support
- Provide administrative support for audits, reports, and special projects
- Support seasonal HR initiatives and school events
Qualifications
Education
- High school diploma or equivalent required
Experience
- Minimum 2 years in an administrative support role
- Experience with document and file management
- Prior experience in a school, nonprofit, or small office preferred
Technical Skills
- Proficiency in Microsoft Office Suite
- Familiarity with digital/cloud-based filing systems (e.g., Dynafile)
Soft Skills
- Exceptional attention to detail and organization
- Strong communication skills (written and verbal)
- Proven discretion with confidential information
- Friendly, professional, and service-oriented demeanor
- Ability to manage time effectively and adapt to occasional interruptions
- Spanish language skills are a plus
