Position: Part-Time Administrative Assistant - Accounting Support

Location: San Mateo, CA (Office-based)

Hours: 20 hours per week, Monday-Friday, 1:00 PM – 5:00 PM (flexible hours for the right candidate)

Position Overview:

We are seeking a highly organized and self-motivated individual to join our team and support the accounting department, as well as our attorneys. This part-time role requires someone who can work independently and handle a variety of administrative tasks with attention to detail and a positive, can-do attitude.

Key Responsibilities:

  • Mail and Package Handling: Receive and log all incoming mail and packages, scan, and distribute mail to attorneys and staff as needed.
  • Reception and Visitor Support: Assist with reception duties and provide support to visitors when they arrive.
  • Accounting Support: Assist with Accounts Payable and Accounts Receivable tasks and act as a backup as needed.
  • Conflict Checks: Perform conflict checks for new clients and matters to ensure compliance.
  • Client Communication: Communicate with clients as needed, providing excellent service and support.
  • Cloud Storage Management: Upload information to cloud storage, ensuring files are properly organized.
  • Invoicing and Collections: Send out client invoices, generate and send out reminder letters, and past due notices in a timely manner.

Qualifications:

  • College degree required.
  • 3-5 years of accounting experience (collection and/or legal billing experience is a plus).
  • Strong communication skills, both written and verbal.
  • U.S. citizenship required (subject to background check).
  • Detail-oriented and capable of managing multiple tasks.
  • Ability to work independently and demonstrate initiative.
  • Proficient with cloud-based file storage systems and basic office software.
